Multimedia Sales Assistant

The Advertising Sales Assistant is responsible for supporting the advertising sales representatives and sales leadership with all aspects of the advertising placement process. This includes working with external clients as well as internal departments to bill, create, proof and place print and online advertising. The Sales Assistant also assists outside reps with their workload when needed, performs several clerical duties essential to the department’s daily routine.

Primary Responsibilities and Essential Duties:

Sales Support

  • Assists outside representatives with accounts, proposals, paperwork and maintaining customer relations to ensure that work is completed by deadline.
  • Assumes the sales representatives’ duties in their absence by assisting their clients with advertising options, advice, questions, and scheduling.
  • Creates the layout for customer’s ad by giving all necessary information to the designer. This includes picking up numbers, art, photos, and text.
  • Receives payments and brings to accounting on a regular basis to ensure timely management of accounts receivable.
  • Calls or emails the sales representative’s customer when needed to check proofs, verifying information or to get payment.
  • Maintains a database of competitive media to assist in sales efforts.
  • Emails or delivers proofs to customers to verify that their ad is correct before it runs.
  • Mails tear sheets and receipts to customer once ad has run as proof that ad was published.

Small Accounts

  • Maintains smaller accounts by sending updates about ad opportunities to advance their relationship with The Advocate.
  • Fosters relationships with accounts that will help encourage future advertising with The Advocate.


  • Assists in the coordination and participation in promotional activities, working with Advertising, Editorial, Online, Creative Services, and Circulation to communicate roles and responsibilities in event planning, promotion and production to market products or services.
  • Assists in the creation and management of event details including displays and handouts.
  • Assists in the management of sponsorship relationships to ensure our obligations are met.
  • Represents The Advocate in a professional and courteous manner at company, community, and business events.


  • Maintain customer databases as needed for customer correspondence.
  • Uses Xpance program to pull up ads to print, email or edit.
  • Answers phones courteously and in accordance with company telephone policies and procedures.

Education, Experience, and Knowledge Requirements:

  • College Degree.
  • 1 year experience in clerical and customer service/relations.
  • Considerable knowledge of math, computer, Microsoft Office Suite, and basic office equipment.
