Administrative Support Specialist

Administrative support experienced with Policy or document control NEEDED!

Description:

Responsible for the operation and upkeep of the global policy document control system to support all departments excluding GMP, GLP, and GCP programs. The core function consists of managing policy documents through the system as well as cleaning up and proofing document prior to approval.

Principal Responsibilities

Document Control:

• Support for preparation and maintenance of all policy documents maintained in policy system.

• Ensure policy owners are connected with the Enterprise Wide Training Group

• Proof documents prior to roll out

• Enforce the policy template

• Participate in new departmental initiatives and system reviews or roll outs

• Participate in creating or revising relevant document management tools, work instructions, and templates.

Archiving:

• Work with IT and Data Privacy functions to ensure appropriate tagging of policies for document retention

• Ensure gap free audit history of past policies is available

Required Qualifications

This position requires superior computer skills with MS Word, Excel, and Adobe. Requirements also include the ability to work with limited supervision, superior attention to detail and organizational skills, excellent grammatical and proofreading skills, proven multi-tasking abilities, immediate response action to tasks and personnel requests for assistance, strong interpersonal and communication skills, and ability to handle changing priorities if needed in a fast-paced environment.

Requires knowledge of general policy process and documentation practices. Required to maintain a high degree of confidentiality and professionalism and be able to work well with employees at all levels of skill and authority throughout the company.

Preferred Qualifications

Bachelor's degree and 1+ years of policy administration experience; or 3+ years of relevant experience at a mid to large size company working in policy administration.
