Job Title:Technical Assistant - Distribution Operations and Planning

Job Summary and Description:

Provides assistance to deliver customer requests and execute deliverables.  Supports leadership by gathering, monitoring, analyzing and organizing information on current and emerging science and technology as well as financial and contractual data.

• Provides information and support to Technical Staff.

• Develops and implements programs and processes to maintain centralized files containing technical information (statements of work and amendments) and financial information (commitments and expenditures)

• Develops and maintains technical literature databases for Sector.

• Manage the planning, preparation and organization of technical conferences and workshops.

• Assist in preparation of paperwork for revenue agreements and contracts and ensure timely execution.

• Provide support in preparation of technical presentations and other materials for advisory meetings, external publications, conferences and workshops.

• Assists Project Managers by interacting with contractors and members.

• Establishes and maintains processes that ease the transfer of technology to members.

Education:

AA degree in a scientific field or equivalent combination of education and experience.

Knowledge, Skills, and Abilities:

• Prior experience in an administrative report role.

• Capability to handle administrative support role (word processing, database, spreadsheet, presentation graphics, etc.)

•  A general understanding of the conduct of research projects from the definition phase through to results delivery and application.

• Excellent verbal and written communication skills.

• Demonstrated strong ability to identify, analyze, and negotiate and problem solve.

• Capability of performing multiple and complex tasks with limited direction, while having the judgment to know when to ask for directions.

  • Excellent computer skills, including knowledge of Microsoft Office - MS Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills and attention to detail.
  • Ability to work under pressure to meet short deadlines, while supporting multiple technical staff.
  • Capability to handle administrative support role (word processing, database, spreadsheet, presentation graphics, etc.)
  • Open flexible approach to work with environment and job responsibilities
  • Strong cooperative teaming attitude is a must
  • Must be able to work effectively with all levels of internal and external customers.

Ideal Candidate

  • Experience supporting technical staff in meetings – scheduling/setting up teleconferences and webcasts, taking notes, managing action item list,etc.
  • Experience organizing and managing presentations from engineers for meetings
  • Experience managing customer contact information and contact list
  • Highly proficient with MS Outlook, including managing calendars
  • Highly proficient with MS Word, PowerPoint, and Excel
