The Collections Specialist monitors records of amounts due to the company and ensures prompt receipt of payments. Performs credit checks for the purpose of issuing credit to Cox Media clients business to business.

Monitors records of amounts due to Cox Media and ensures prompt receipt of payments.
Performs collections and accounting duties to include preparation of collection letters, letters confirming payment schedules, and other correspondence necessary to facilitate the collection of past due funds; prepares and mails monthly client statements. Maintains a daily record of payments received and client interactions in billing system.

Reconciles entries, payments, and balance charged off to appropriate accounts; coordinates month-end processes including reconciliation of accounts and preparation of reports.
Actively calls clients at pre-determined intervals to facilitate the collections process and provides information and assistance as required. Prepares and maintains accounts receivable register and other related accounting reports.

Key Responsibilities:
- Perform Credit checks utilizing Experian to determine client credit worthiness and enters credit level in billing system.
- Consistently review credit worthiness for their specified regions.
- Complete monthly reporting for the specified regions such as Aged Accounts Receivable, Cash in Advance and Cash Liability.
- Reviews aged accounts receivable for delinquent accounts 90 days and older to prioritize call list for Business to Business collection attempts.
- Follow up on billing discrepancies.
- Create new client/agency/rep firm IDs using Oracle Sales Cloud and Novar.
- Maintain accurate billing records for client/agency.
- Reviews and responds to sales executive or client emails and calls regarding collections.
- Generate account statements.
- Confers with clients by telephone, e-mail, and mail in attempt to determine reason for overdue payment, reviewing terms of sales, service, or credit contract with customer.
- Performs research to resolve client inquiries and bring aged accounts to resolution
- Reconcile accounts between Cox Media and clients as required
- Initiate and monitor payment plans for aged accounts as necessary.
- Record information about financial status of client and status of collection efforts.
- Places and removes clients on credit hold status as necessary.
- Make adjustment to client accounts if and when necessary.
- Turns over accounts to outside collection agency.
- Process daily requests received from markets and clients through email, ticketing systems and phone calls.
- Maintain daily workflow log to track all work processed.
- Process credit hold report daily.
- Client Billing by creating at month end to send via EDI, Outsource, Co-op and process any special billing requests.
- Reviews billing for accuracy.
- Process client adjustments.
- Post client payments received by Paymentech, EFT, ACH and Lockbox for National and Local Revenue streams with auto cash posting and review of exceptions for manual posting.
- Maintain bookkeeping databases and spreadsheets, updating information as needed.
- Maintain a clean unapplied cash account and accurate research for any payments that must be posted to the account.
- Processes Client refunds.
- Enter data into billing system.
- Contact clients regarding payment.
- Creating month end reports and month end balance sheets that documents overall profits received for current month.
- Create memo bills for prebilling.
- Reconcile accounts between Cox Media and clients as required
- Maintain weekly balancing spreadsheet and reports.


- HS diploma, GED or relevant work experience in Collections.
- 2+ year of experience preferred in related field (i.e. Collections, AR, AP, etc.)
- Requires intermediate level of knowledge of Microsoft tools and applications such Microsoft Word, Excel, PowerPoint.
- Effectively identifies problems as they occur and takes appropriate steps to solve them in situations where the problem is not difficult or complex; Refers complex, unusual problems to supervisor/manager.
- Excellent interpersonal, customer service, presentation, and collaborative skills to work effectively with teams throughout organization.
- Strong organizational skills, accuracy and attention to detail.
- Ability to work in a fast-paced environment with aligned deadlines.


- Experience in cable television, advertising or telecommunications industry desired.
- 3+ year of experience preferred in related field (i.e. B2B Collections, AR, AP, etc.)
- Knowledge of Advertising Traffic Systems such as Novar.
- Business to Business Collections experience.
