Mail Specialist

JOB SUMMARY: To accurately open, identify, prepare, scan or forward incoming mail to appropriate internal department for processing.

ESSENTIAL DUTIES & RESPONSIBILITIES (other duties may be assigned as necessary):

  • Manually open incoming daily mail
  • Identify document types and determine proper method of processing
  • Batch claim documents for OnCourse scanning.
  • Batch POS, New Business & Underwriting documents for AWD scanning and/or delivery to appropriate department.
  • Preparing batches for scanning includes; sorting documents, removing staples, taping down small sheets, photocopying, marking out bar codes and adding doc separator sheets.
  • Batch claim checks and premium checks and process accordingly
  • Scanning documents into proper system and under the corresponding work type.
  • Pull files/claims as necessary for requests and re-file when done.
  • Prepare client files for back end scanning into IMS.
  • Policy assembly which includes; sorting, stapling, stamping, adding return envelopes and packaging

QUALIFICATIONS: To perform this job successfully an individual must be able to perform each job function satisfactorily. The following requirements are representative of the knowledge, skill, and/or ability required. Candidates must have the ability to read and comprehend specific instructions and effectively prioritize their work load, ability to work independently and with others, willingness to assist coworkers as needed, ability to lift and carry up to 60lbs of mail, paper, envelopes, etc. Have flexibility to handle multiple tasks accurately and efficiently with minimal supervision. Has understanding that reliability and accuracy are important and essential to the success of the mail department and the company as a whole. Honesty, integrity and respect for the company’s policies & procedures is also essential.

EDUCATION and/or EXPERIENCE REQUIRED: A successful candidate will have a High School diploma or equivalent or 2-3 years related experience in a mailroom setting with basic mail sort & imaging knowledge. Light clerical/office experience plus Microsoft Outlook, Word & Excel knowledge is preferred. Working knowledge of AWD scanning software, USPS products, Fed-Ex and UPS is also preferred.
