Overview
DePaul is now hiring a full-time Bilingual Secretary 1/Receptionist! In this role, the Bilingual Secretary 1 / Receptionist performs general secretarial duties and routine activities pertaining to the support of NCADD-RA as assigned by the Administrative Assistant. This job requires the ability to handle multiple tasks with flexibility and ability to move from one task to another depending on current need. Assist in the staffing at a variety of health fairs and other special events.
Responsibilities
Specific Duties include but are not limited too:
Respects and maintains participant confidentiality. Demonstrates a positive and caring attitude toward all customers, and staff.
Provide clerical support as requested by the Administrative Assistant, to include but not limited to word processing, producing monthly reports, inventory of supplies, fact sheets, newsletters, ordering supplies as requested by the Administrative Assistant.
Update program database and filing systems as requested by the Administrative Assistant. Plan, organize and prioritize work to meet deadlines under supervision of the Administrative Assistant.
Create and maintain accurate financial records that includes, payments/deposits/check requests for NCADD-RA training and other events, track donations, subscriptions, and dues.
Update NCADD-RA's resource area, making copies/packets as requested for NCADD-RA programs and special events.
Coordinate materials for health and resource fairs, represent NCADD-RA at health fairs as assigned. Maintain and regularly inventory all printed materials and resources.
Responsible for mail delivery and pickup to and from DePaul Administration mailroom primarily, ordering offices supplies and other duties as assigned by Administrative Assistant or NCADD-RA Director.
Qualifications
Education/Experience : High School Diploma required, Business School training preferred, or demonstrated knowledge of office procedures, databases, and MS Office applications. 2-3 years of secretarial experience with demonstrated knowledge of MS Office applications. Strong organizational and interpersonal skills, strong written and verbal skills. Must be bilingual, fluency in both Spanish and English.
Other : Current valid NYS driver's license and acceptable pre-hire DMV screen. Personal transportation required to accomplish core job functions such as transporting conference and event supplies to many sites.
