Othello Chamber Manager

Job Description Greater Othello Chamber of Commerce

Title: Othello Chamber Manager

Reports to: Othello Chamber President

Salary: $15.00/hour. Includes holiday pay for 5 major holidays.

Fourth of July: Time and a half. 60 hours paid time off (vacation and sick days) per year.

Mileage reimbursement: $1,000 per year

Education: High School Diploma required, College Degree Strongly Recommended

Special Technical Knowledge: General computer skills required. Must have knowledge in Microsoft Word, PowerPoint, Publisher, and Excel programs. Basic website and database management, and basic bookkeeping.Experience with digital and print marketing. Maintenance of social media sites such as Facebook, Instagram, etc.

General Description: This position is primarily administrative in nature but will also include significant elements of communication, work in public relations, information and member services areas. The manager has primary responsibility for daily office operations. Further, the manager will play an important role in membership recruitment and retention and fundraising. The manager will provide information to the public through the visitor information center, websites, social media sites, email marketing, mailing, by attending local events, and collaborating with local organizations. In addition, the manager will help plan for and organize the Othello Farmers Market, the 4 th of July Celebration, and the Annual Awards Banquet.

Areas of Responsibility:

Office Operation:

1. Administers all workflow within the Chamber operations, to include daily administrative regimens, meeting notices/agendas, schedules for activities and special events.

2. Ensures adequate level of office supplies, brochures and other information and promotional materials are maintained, and orders all required Chamber supplies.

3. Administers equipment maintenance contracts and serves as the "key operator" for standard office equipment.

4. Recommends and ensures approved office procedures are followed. Writes appropriate office procedures for Office Procedures Manual.

5. Checks mail for invitations and announcements. Checks with President for availability to attend meetings and events. Makes appropriate responses.

6. Establishes filing system encompassing areas relative to general concerns, to include copies of incoming and outgoing correspondence.

7. Prepares appropriate correspondence as required.

8. Responsible for backing up data-base system and accounting system

9. Maintains files for contracts. 10. Oversees the Tourist Information Center a) Orders new information material b) Stocks displays with current information c) Schedules any volunteers for information center

Personnel and Supervision:

1.Collects visitor information center data and reports to appropriate agency.

2.Assists in preparation and planning of annual Chamber Board Member retreat.

3. Seeks new ways to identify volunteers within the community.

4. Works to develop an on-going intern program in cooperation with local schools, colleges and other organizations.

Database Management:

1. Receives all membership applications. Checks for accuracy.

2. Sets up member record in the data base and prepares orientation for new Chamber Members

Social Media/Marketing/Web Page/Directory:

1. Maintains webpage to ensure current information and changes.

2. Writes press releases/articles for newsletter and media contacts as directed.

3. Updates Facebook page to ensure current information and changes.

Accounting/Financial Responsibilities:

1. Enters receipts for sponsorship, event attendance in appropriate database.

2. Maintain a debit card account.

3. Works with bookkeeper a) Reports employee hours. b) Makes daily bank deposits as needed c) Submits invoices for payment d) Obtains necessary signatures for remittance

4. Oversees merchant card services.

5. Mail the payment of quarterly payroll taxes and any other taxpayments prepared by bookkeeper.

6. Assists in the preparation of the Annual budget

7. Ensures adequate postage is available.

8. Prepares routine letters, etc. for mailing.

Committees/Events:

1. At the designation of the President the manager serves on key program committees and provides staff support as needed.

2. Sends out meetings notices to assigned committees. Gets committee reports from Chairperson and writes reports.

3. Board of Directors (BOD): Prepares Board materials. Maintains BOD meeting binder. Attends Board meetings, records minutes ofmeeting, transcribes within 10 workdays.

4. Business of the Month (BOM): supports committee with information and reminders for nominations. Orders awards and coordinates presentation dates with local paper, winning business and chamber board. Ensures that an article is written.

5. Othello Farmers Market: Plans for the Farmers Market held July October at Pioneer park. Attends the market each week, collects vendor fees, and organizes events to attract customers and vendors

6. 4 th of July Celebration: Plans for the celebration and parade on main street held on the 4 th of July. The manager is expected to be present and available to the BOD and for all events held that day.

7. Annual Awards banquet: Plans for the banquet held each year in February which includes a live and silent auction, raffle, presentation, and other creative activities to fit the theme of the event.

8. Ribbon Cuttings/Grand Openings: Greets new businesses in the Community and offers a ribbon cutting/grand opening celebrations. Schedules presentation and sends board reminders and notices for all events. Invites members of the community to attend through social media and the chamber webpage. Invites local newspaper to attend and ensures that an article is written.

9. Othello Guide: Organizes the guide and ensures that it is printed each year in June. Encourages businesses to advertise in the guide, collects payment, and obtains all information needed for each listing. Collaborates with chamber photographer to ensure that all photos are up to date and of high quality.

Other Responsibilities:

1. Other duties as specified by President.

2. General housekeeping duties.
