Duties and Responsibilities

  • Manages and prioritize executive calendars
  • Comfortable preparing reports and presentations, taking minutes, maintaining digital files, preparing meeting communications and organizing documents in the company document management system
  • Preparation of executive expense claims and reconciliation of credit card statements
  • Pre-screening of incoming expense claims and invoices requiring executive approval
  • Arranging travel, accommodation, itineraries, and all correspondence related to arrangements as required.
  • Plans/organizes and implements events such as regional meetings, business luncheons, or client dinners
  • Assists in preparation of materials for meetings
  • Uphold a strict level of confidentiality
  • Coordination of executive communication: answering phone inquiries, and directing calls; responding to emails; and interfacing with internal and external clients
  • Coordination with other Executive Assistants globally

 

Skills and Qualifications

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel and Outlook); ability to become familiar with Hatch specific programs and software
  • Experience with SharePoint considered and asset
  • Excellent written and verbal communication skills
  • Exceptional interpersonal skills; friendly and professional demeanor
  • Demonstrates flexibility
  • Comfortable in a fast-paced environment and able to concentrate on multiple problems/tasks at once; able to organize and manage large amounts of files, tasks, schedules and information
  • Excellent time management and prioritization skills
  • Self-directed and able to work without supervision
  • Energetic and eager to tackle new projects and ideas
  • Bachelor’s degree in business administration or related field preferred

 

IAAP Certified Administrative Professional (CAP) or professional certification in office management considered an asset
