We are looking for an Administration Assistant to join our Air Division. The expected start date of this position will be as soon as possible.

About the Role:
As an Administration Assistant, you will be responsible for coordinating service jobs, preparing quotations, maintaining accurate records, and supporting parts and inventory processes. You will be customer-focused, proactive, and thrive in a fast-paced service environment.
Key Responsibilities:
Customer Service "Quotations
- Prepare accurate and timely quotations for air compressor repairs and service work
- Liaise with customers to understand service requirements and provide cost estimates
- Communicate service options, timelines, and technical recommendations
Service Coordination & Scheduling
- Create and schedule service jobs for technicians
- Coordinate technician workloads and prioritise work orders
- Monitor job progress and provide regular updates to customers
- Ensure efficient workflow and minimise equipment downtime
Parts & Inventory Management
- Order parts and materials required for service and repairs
- Maintain warehouse organisation and stock control systems
- Monitor inventory levels and coordinate timely reordering
- Liaise with suppliers to ensure prompt delivery
Records & Administration
- Maintain accurate service and equipment records
- Update customer histories and equipment maintenance logs
- Ensure documentation meets company and regulatory standards
- Generate service reports as required
About You:
- Minimum 2 years’ experience in a service-oriented or administrative role
- Strong attention to detail with the ability to multitask
- Excellent organisational and time management skills
- Confident communicator with a professional phone manner
- Customer-focused with a proactive and team-oriented approach
- Intermediate level proficiency in Microsoft Office applications is required
- Must have Australian work rights to be eligible for this position
Desirable (but not essential)
- Experience using Simpro or similar job management software
- Exposure to warehouse and parts management
- Experience in a technical, mechanical, or industrial service environment
- Knowledge of air compressors systems and components
- Experience with parts procurement and supplier coordination
