Administrative Assistant


The Financial Services Department works in collaboration with the seven technical divisions to manage the financial and business affairs of MIT Lincoln Laboratory. The department also ensures that the Laboratory's financial and business processes lead to practices that yield compliance to the Contract and the the U.S. Office of Management and Budget Uniform Guidance.

 

The Financial Services Department works in collaboration with the seven technical divisions to manage the financial and business affairs of MIT Lincoln Laboratory. The department also ensures that the Laboratory's financial and business processes lead to practices that yield compliance to the Contract and the the U.S. Office of Management and Budget Uniform Guidance.

 

Reporting to the Department Head, the Administrative Assistant (level IV) will perform various administrative functions to support the Financial Services Department.  The successful candidate must be able to work both independently and cooperatively, set priorities, be well organized, reliably manage multiple tasks and must have the ability to work effectively with people from across all levels and areas of the Laboratory.  Extensive experience with PC operation and Microsoft Office suite is required.  Experience with SAP/SRM is preferred. 

Duties include:

  • Create shopping carts or PCard purchases for supplies and equipment
  • Schedule/organize meetings (dates/times/conference rooms)
  • Issue communication service requests (CSRs) and work maintenance orders as required
  • Input timesheets
  • Problem Letter notification.
  • Emergency Health and Safety Rep
  • Organizational Training Rep
  • Maintain Org Charts, Point of Contact Sheets and Group Listings
  • Maintain records and files
  • Organize Rewards and Recognition or department led communication/training events
  • Review Rewards and Recognition requests before payment
  • Request and monitor Visitor and Badge requests.  Escort visitors
  • Create travel requests/itineraries and process expense vouchers
  • Manage calendars, answer telephones, and forward accurate messages
  • Use proper Laboratory formats for memorandum/presentation preparation
  • Various other duties as assigned by the Department Head

 

Requirements:

  • High-school graduate with three-plus years of experience in a busy business office environment. 
  • A minimum of 2.5 years of directly related experience required. Post high school will count towards experience.
  • Experience working with SAP software is desirable.
  • High proficiency in the use of Microsoft Word, Excel, PowerPoint and Outlook Calendar is required.
  • Demonstrated capabilities in presenting ideas written and orally within a cross-functional environment required.
  • Must have demonstrated abilities in prioritizing, successfully handling multiple concurrent tasks, excellent listening skills, organization skills, attention to detail and working in a team environment.
  • Ability to obtain and maintain a government clearance.
