Job Summary

Provide research-oriented administrative support for a group of research investigators and their teams. He/she will coordinate significant internal and external communications, projects and meetings, make travel arrangements and otherwise provide broad support for investigators in carrying out the administrative aspects of their research program.  Must be highly organized and able to meet deadlines, work on several projects at once and understand the concepts in the work performed. Must manage difficult situations with skill, patience, and diplomacy. Requires independent judgment and the ability to work collaboratively as part of a team. 

Job Responsibilities

Duties will include:


- Management of Electronic Calendars and Schedules for PIs and research teams;


- Scheduling of travel, lodging, meetings and facilities;


- Processing of expense reimbursements, purchasing of supplies, and assistance with management of  research funds;
 

-Maintenance of PI documents (CVs, biosketches, other support);


-Timekeeping for research staff;


-Communication with sponsored projects and research business management office as required for efficient operation;

 

-Provide support for developing posters, presentations, grant applications, protocols, manuscripts, and other similar documents.

 

-Provide sophisticated word processing support and formatting for documents including integration of graphics, charts and other elements.

 

-Coordinate research-related center projects.

 

-Other duties as assigned. 

Required Licenses, Certifications, Registrations

None

Required Education and Experience

  • High school diploma or eqivalent with demonstrated success in a similar position for at least 5 years. 

Preferred Education, Experience & Cert/Lic

  • Bachelor's degree with minimum 2 – 3 years relevant experience in a clinical research setting.

Additional Technical Requirements

• High level of proficiency in Word processing, PowerPoint, web and spreadsheet software including use of tables, charts and graphs, embedding graphics and objects and merging documents as well as familiarity with bibliographic software (e.g. Endnote). Ability to operate all office equipment and to quickly learn and assimilate new technology into daily work.
• Excellent communication skills both verbally and in writing including accurate grammar, spelling and typing.
• Requires Independent judgment and the ability to work well collaboratively as part of a team
• Able to perform mathematical calculations accurately and understand requests for support of data analysis reports, such as budgets, scorecards or metrics.
• High level of demonstrated ability to multi-task and prioritize tasks and activities well.
• Able to handle confidential materials and matters.
• Excellent organizational, time management, work planning, and attention to detail.
• Excellent interpersonal skills with ability to negotiate or mediate difficult situations with tact and diplomacy
