Job Description

A Human Resources Coordinator with Hilton Hotels and Resorts is responsible for coordinating and performing administrative duties in support of the employee relations and training area including but not limited to answering telephones, data input and tracking, preparing, setting up and facilitating training programs. Promotes and coordinates various team member activities and hotel representation in community-sponsored activities to benefit team member morale and corporate citizenship.  Plans and executes community and in-house events to include but not limited to Charity Walk, Hawaii Food Bank, Aloha United Way, Aloha Festivals and Team Member Recognition programs for our 1800+ team members.  


What will I be doing?

 

A Human Resources Coordinator with Hilton Hotels and Resorts is responsible for coordinating and performing administrative duties in support of the employee relations and training area including but not limited to answering telephones, data input and tracking, preparing, setting up and facilitating training programs. Promotes and coordinates various team member activities and hotel representation in community-sponsored activities to benefit team member morale and corporate citizenship. Specifically, you would be responsible for performing the following tasks to the highest standards:

  • Plans and implements seasonal programs, including, but not limited to, Charity Walk and other run events, Food Bank campaign, Professional Administrative Week, Aloha United Way Campaign, Aloha Festivals activities, Pumpkin Carving Contest, Christmas Tree Decorating Contest, Holiday Party, and related events. Composes letters, memos, flyers, newsletter, team member of the month flyer, Blue Energy updates and bulletin boards/signs to notify managers, department heads and team members of various hotel-related programs, awards and activities. Uses appropriate grammar, vocabulary and punctuation.

  • Coordinates Team Member Recognition programs to enhance team member morale and performance, including, but not limited to, monthly/quarterly awards at the department and corporate levels. Establishes and/or follows program standards and timelines. Receives nominations, researches nominated team members and coordinates meetings for various awards review boards. Notifies manager/department head and team members of award presentation. Coordinates and requisitions photographer and all applicable team member prizes. Composes team member biographies as necessary and disseminates to appropriate agencies/departments as required. Coordinates Team Member Retirement Program, ensuring that all retiring team members are recognized appropriately and according to program standards. Composes biographies of retirees and coordinates the purchase of gifts and “Aloha Party”, as applicable.

  • Attends various meetings on and off-property to gather information on various community, hotel and team member-related functions.

  • Develops and maintains an employee database through a computerized tracking system to track classes each employee completes. Maintains course completion, evaluations and distributes results. Organizes and maintains an efficient and orderly office filing system

  • Schedules and coordinates training classes by maintaining a training calendar, preparing room reservations, ordering refreshments or supplies, as needed. Develops and distributes training brochures/flyers/bulletin boards to notify employees of upcoming classes, track employee sign-ups and prepare adequate amount of materials. Creates and distributes certificates of completion.

  • Coordinates and presents corporate training programs, including New Hire Orientation, Blue Energy Service Skills, Compliance training, and any other related training to meet specific department needs, as designated by Training Manager

  • Inputs and tracks data and trends of various Hilton quality measurement programs, including but not limited to Quality Assurance, and other related benchmarks into a computerized tracking system. Prepares and distributes reports for required programs relating to corporate standards and compliance.



What are we looking for?

EDUCATION
Any combination of education, training or experience that provides the required knowledge, skills and abilities. High School diploma required. College degree preferred.

EXPERIENCE
One year experience in event coordination required. One year experience in training highly preferred. General Human Resources or planning experience preferred. Hotel experience preferred.

LICENSES OR CERTIFICATES
CPR certification and/or First Aid training preferred.

GROOMING
All team members must maintain a neat, clean and well-groomed appearance (specific standards available).

OTHER
Ability to speak another language in addition to English is preferred.

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.

  • Kowledge of hotel-related jobs and their basic functions.
  • Knowledge of hotel team members, department personnel and positions.
  • Knowledge of all department's functionality, hotel facilities and services.
  • Ability to effectively deal with team members, department heads and customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger and collect accurate information.
  • Ability to communicate effectively in English to articulate training material and conduct training, understand reports and related correspondence and accurately perform all essential job functions.
  • Mathematical skills and considerable skill in the use of a calculator and spreadsheet formulas to prepare moderately complex mathematical calculations without error.
  • Ability to prioritize and organize workload to ensure deadlines are met.
  • Ability to analyze information from different sources, create reports and make effective judgments.
  • Ability to develop access and accurately input information using a moderately complex level of Microsoft Excel, Word and other related software programs.
  • Experience with working with Publisher, PowerPoint and Photo Shop required.
  • Ability to accurately input/type 45 words per minute.
  • Ability to operate 10-key adding machine.
  • Ability to stand, walk and continuously perform essential job functions for an extended period of time.
  • Ability to travel to various locations throughout the property, utilizing stairs, ramps, elevators and escalators.
  • Ability to travel to activities, functions and meetings held at various locations.
  • Ability to use various office equipment, including, but not limited to, typewriters, calculators, photocopiers and facsimile machines.
