Provides administrative support to the EMEAC Oncology medical operations lead and regional directors of medical affairs (RDMAs) on daily activities, expenses and travel arrangements.


The job duties include but are not limited to:



  • Provision of administrative support to EMEAC Oncology Medical Operations Lead and EMEAC RDMAs

  • Meetings:
    a. General: Book meeting rooms. communicate with attendees; provide attendance list. Keep meeting records
    b. Webcasts: Book meeting room; coordinate in advance with appropriate areas. Send invitation to attendees, document attendance, if required.
    c. External providers: Book meeting room; coordinate in advance with appropriate attendees. Send invitations

  • Organize travel arrangements and prepare itineraries for Oncology RDMAs 

  • Process monthly expense reports for Oncology RDMAs

  • Distribute and follow-up receipt and delivery correspondence for Oncology Medical Affairs Regional Organization

  • Support organization of Oncology Medical Affairs Regional local and International Meetings

  • Maintain archive of physical and electronic documents
Qualifications

Required:



  • Previous experience as Administrative assistant or similar position with expanded responsibilities to support business areas as needed


Preferred:



  • Administrative courses

  • High level of command of office applications

  • Organizing ad coordination skills

  • Additional language


Soft skills:



  • Able to interact with different levels of the organization.

  • Good interpersonal relationships, internal and external.

  • Good attention to detail

Excellent verbal and written communication skills
