Reports to: Regional Head of Air Freight, Americas

Location: Miami, Florida

Purpose of the position:

* Charter & Emergency Services has following business fields:
* Full Charter Flights
* Small Charter Flights (= based on helicopters and small aero planes)
* On-Board-Couriers

* Design and Provide best price and quality solutions for Charter & Emergency Services.

* Provide highest standard of work by performing 24 / 7 service in cooperation with the Worldwide Charter & Emergency services offices.

Key Tasks:

* Process New Ad-hoc Charter & Emergency Requests : Quotation to PA, communication with PA / Customer / Service Providers, issue contract, perform customer order and arrange operational and financial issues together with the department’s administration. Range: worldwide
* Flight scheduling for Charter- and Small Charter Flights, as well as for On-Board-Couriers : Communicate the flight schedules and possible schedule changes with all parties involved. Range: worldwide
* to monitor the flight preparations of the carrier and to coordinate operational requirements with the respective Panalpina offices and origin- and destination airports. In case of need and with agreement of the Head of Corporate Charter & Emergency Services to travel to the airport of origin/destination to for loading- / unloading supervision. Range: Americas
* to monitor and report the flight following of the on board couriers. make sure that pick-up, deliveries and customs clearances are arranged as per local laws and requirements.

Range: worldwide

* To create recovery scenarios in case aircrafts, shipments or On-Board Couriers get stuck
* Administration : Responsible for creating outgoing invoices in a timely way. Has the financial responsibility for own flights or shipments. As from 2018 ongoing has to make extended use of the new IT Tools being currently developed and prepared for roll out.
* Database : to maintain and to keep the relevant databases up to date such e.g. quote statistic, airline contacts via MS Outlook and quote folders within the email shared folders.
* from case to case > to work on weekend shifts

Key Performance Indicator (KPIs value to be confirmed during Pear review):

* Increase number of adhoc Charters out of worldwide origins to worldwide destinations
* Increase number of small charter flights within Americas
* Increase number of OBCs out of and within Americas
* Assist overseas origins on OBCs inbound into Europe

Decision Making Authority:

* Independent organization of the own working place and assigned jobs
* Decides on buying of ad-hoc aircraft capacity which will be done only after signed customer order for the job received
* Decides during load supervision on-site how to solve upcoming issues

Function / Market & Industry Knowledge / Business Acumen / Process working:

Good knowledge of

* Panalpina's Air Freight strategy and products
* the air freight industry
* regulatory aspects affecting Panalpina and industries
* regularity aspects within the aviation industry, e.g. and not limited to country bilateral agreements
* regularity aspects within the customs authorities, e.g. and not limited to export/import/transit licenses
* markets (customers, competitors, suppliers, overall environment and major tradelanes)
* forwarding and Supply Chain Management IT Systems
* finance in general

Extensive knowledge of

* the Panalpina Charter Network offerings

* trends and opportunities in the chartering industry
* respective industry verticals including trends, opportunities and threats aircraft parameters

Skills & Competencies:

Educational background / Work experience:

Minimum 2-5 years operational experience in freight forwarding > Airfreight


Minimum 2-5 years operational experience Airline background > Airfreight

Language skills:

English – Fluent

Spanish – is a benefit

other languages are welcome

Computer Literacy:

Good Knowledge MS Office

Word / PowerPoint / Excel / Outlook
