We are seeking a H&S Coordinator to join our projects Thornleigh Inlet/Outlet Main Project (Thornleigh) and the Metro Northwest Project (Rouse Hills) in Sydney.

Your Role and Responsibilities:

The H&S Coordinator provides administrative support to the project, which typically includes tasks such as data entry; the maintenance of records; compiling of reports; the processing and completion of forms; stakeholder communications; organisation of team meetings/event logistics; and secretarial support as required.

Your day-to-day responsibilities will include:

  • Monitor compliance with the safety systems and procedures within the workplace and provide operational support to the project management team.
  • Research and assist with the development of safety policies specific to the project.
  • Administer safety programs for project employees.
  • Assist with workers compensation claims and rehabilitation processes.
  • Assist with conducting incident and accident investigations that may require litigation.
  • Conduct routine safety inspections and monitoring work areas.
  • Establish positive working relationships with project personnel and raise awareness of safety risks.
  • Assist in the development of communications tools and records for all project safety meetings.
  • Prepare and maintain reports and documentation concerning the aspects of project safety programs.
  • Monitor and evaluate the project safety programs for value and effectiveness.
  • Maintain knowledge of applicable legislative requirements including government regulations, standards, and policies.
  • Maintain professional relationships with regulatory bodies and clients to foster the professional image.
  • Evaluate, investigate, and gather information that will address inadequacies concerning safety matters.
  • Order appropriate stocks of PPE as directed.
  • Support the communication of HS requirements to the project.
  • Perform all duties in accordance with BYCA’s policies, processes, systems, and procedures.

Position Specific Tasks or Responsibilities:

  • Entering, updating, and completing Incident Reports on the platform.
  • Entering, updating, and completing the Weekly/Monthly HS Stats.
  • Assist with preparation of Weekly/Monthly H&S report when requested.
  • Assists with preparation of project H&S KPI tracking & reports.
  • Coach and mentor staff with correct recording of H&S data including HSE KPI's.
  • Assists with the mobilisation of project personnel.
  • Enter all training/induction records into the approved project database.
  • Assist with arranging any training where requested, including obtaining quotations.
  • Collect and maintain training records for all new employees and where skills have been updated.
  • Attend the project WHS Committee meeting to take minutes when requested.
  • Attend HS Meeting to take minutes when requested.
  • Assist with emergency drills and recording drill debriefs.
  • Develop and maintain office filing and database systems, storing information accurately and safely.
  • Maintain hard copies of frequently used documents.
  • Assist in the creation and preparation of correspondence, documents, reports, presentations, and/or publications relevant to the project’s operations.
  • Provide customer service to the client, external vendors, subcontractors, and community stakeholders as requested.
  • Consult with and obtain required documentation or evidence of action closure from subcontractors.
  • Retrieve data and produce reports inclusive of graphs from various reflecting OH&S functions, as requested.
  • Maintain up-to-date audit and inspection registers noting follow-up action and ensuring close-out items are conducted within the time specified.
  • Compile and update outstanding action items arising from the Safety Meeting minutes and ensuring that close outs are conducted within the time specified.
  • Obtain, compile, and electronically file relevant documentation from subcontractors in accordance with the Project Health & Safety Management Plan and BYCA system requirements.
  • Maintain the project Health & Safety intranet pages or equivalent inclusive of providing awareness topics with the support of the project Health & Safety Team.
  • Provide Health and Safety System support to project and subcontractors for project electronic systems.
  • Assist with the development of weekly toolbox topics when requested.

Qualifications and Experience Required:

  • Minimum 5 years’ experience in an office environment.
