Job Summary

The Office Manager is responsible for and oversees the daily functions of the front office and assists in carrying out the company office responsibilities as needed.  The responsibilities include but are not limited to: billing & invoice generation, payroll processing, accounts payable processing, benefits administration, accounts receivables/collections, employee hiring & orientation, office filing and organization and management support responsibilities.


  • Maintain Office Budget/Financial Responsibilities:
    • Prepares activities reports for support and guidance of management.
      •  Includes financial reports (weekly projections and monthly P&L management of entries), Operations & Engineering support reporting, payroll and overtime reporting, personnel turnover reports, customer and Service Dept. reporting, etc.
  • Operational Excellence initiative
    • Establishment of uniform correspondence procedures and practices.  This includes distribution of employee and client correspondence in a consistent manner and effectively meeting the overall communication purposes of the organization.
    • Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness.  This may/will involve designing and delegating job responsibilities, conducting performance reviews, hiring and the coaching/counseling actions as necessary for clerical staff.  The position includes responsibility for duties of the office staff, including but not limited to the Receptionist/Office Assistant, HR Administrative Asst., Payroll clerk, etc.
  • People Management
    • Coordinates activities of various clerical departments and/or workers within the department.
  • Administration
    • Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payroll, personnel files, information management, filing systems, requisition of supplies, and other clerical services.  This may involve establishing or improvement of office procedures & policies, new hire orientation and overview of lawful benefits administration and payroll regulations.
    • Maximizes office productivity through proficient use of appropriate software applications, such as Excel, Word, PowerPoint, and other Microsoft Office products as well as Crothall programs such as Linen Master, Team-Fin, etc.
    • Researches and develops resources that create timely and efficient workflow.  Could involve redesigning the workflow and procedures for the clerical and management staff as necessary.
    • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.  This includes employee files, training documentations and documentation required for Compass/Crothall and all other regulatory authorities.
