 Position Summary



Under minimum supervision, performs the advanced secretarial functions required in preparation of correspondence and complex reports, spread sheets and graphs. Relieves a major division administrator, CEO, VP or other company official of many administrative details. Acts as a liaison between Company officials and clients. May give work direct to other business support staff as appropriate.



Minimum Education Requirements




  • High School Diploma or GED

  • BA Degree or comparable administrative training



Minimum Experience Requirements




  • 5 years or greater of executive secretarial experience, preferred.

  • Ability to speak, read and write the English language;

  • Must have advanced word-processing skills, power point, excel, spreadsheets, graphs

  • Demonstrates excellent grammar, spelling and editing skills; organizational and communications skills.

Position Duties (essential functions denoted with an * )




  • Exercises independent judgment in providing assistance to Administrator, CEO, or VP. *

  • Responsibilities include, but are not limited to: dictation, developing new forms, composing correspondence, compiling reports, taking meeting minutes, providing assistance/information to callers/visitors; opens, sorts, distributes and/or redirects mail for company executive. *

  • Composes replies to official matters using own initiative, judgment and knowledge of the executive interest on matter at hand. *

  • Maintains a filing system(s) with proper indexing and ongoing removal of inactive material. Includes maintaining copies of all contracts and agreements and approvals at the corporate level as well as maintaining up to date corporate manuals. *

  • Position consistently uses variety of software, prepares routine and complex reports, graphs, memos, manuals, policies/procedures, documents. *

  • Responsible for ordering departmental supplies, processing requisitions and purchase orders to maintain an adequate level to allow for normal departmental functioning. *

  • Maintains calendar for executive, coordinates any travel arrangements; coordinates meetings, agenda materials, makes appropriate room and AV arrangements, takes minutes as requested. *

  • Able to deal with multiple tasks and interruptions using independent judgment and initiative. *

  • Maintains a professional appearance at all times. Clothes are neat and clean and appropriate office attire. *

  • Responds to sensitive issues with discretion, tact and good judgment. *

  • Works collaboratively with a diverse group of employees and clients. *
