It is a non-partisan think tank providing expert policy analysis, educational and professional development services, and a hub for engaging with the region"s arts and culture.

Position Title: Executive Assistant and Board Secretary

Company: Middle East Institute

Status: Full-Time, Exempt

Location: On-Site | Washington, DC

Salary Range: $50,000 - $55,000


Position Overview:

Reporting directly to the President and CEO, the Executive Assistant and Board Secretary play a multifaceted role in providing executive support to the CEO while also serving as the primary liaison for board-related matters. This position involves managing administrative tasks, facilitating communication between the CEO"s office and internal and external constituencies, and ensuring the smooth functioning of meetings and activities. The ideal candidate will be highly organized, detail-oriented, and possess strong interpersonal and communication skills. Discretion and confidentiality are key aspects of this position.


Essential Responsibilities:

The responsibilities include, but are not limited to:

  • Act as the primary liaison for the Board of Directors, facilitating communication and coordination of activities.

  • Foster and maintain robust relationships with stakeholders, managing RSVPs and preparing materials for meetings and presentations.

  • Coordinate board meetings, including preparation of agendas, and dissemination of materials to ensure all members are well-informed and prepared.

  • Attend Board meetings and record meeting minutes that will need to be finalized and distributed as required.

  • Provide executive support with administrative tasks, including adeptly managing financial forms and contracts, and organizing filing systems.

  • Efficiently manage the CEO"s calendar, scheduling appointments, coordinating meetings, and hosting guests.

  • Craft professional correspondence, briefings, and documents.

  • Assist with projects and activities that are under the leadership of the CEO, coordinating and collaborating with staff, scholars, and external constituencies as necessary.

  • Manage phone calls and emails as assigned.

  • Various duties as assigned as part of the CEO office team.

Requirements:

  • Minimum of a Bachelor's Degree in Business, Political Science, Communications, Public Relations or other relevant field and work experience in a similar field.

  • At least 2-3 years of professional experience supporting leaders and board members.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Energy, initiative, independence, and the ability to adapt in a fast-paced professional environment.

  • Proven writing skills, and strong research and communication skills, including social media proficiency.

  • Proven people skills and the ability to work with a diverse range of individuals at various levels within and outside of the Institute.
