Job Title

Insurance Operations Assistant

Location

Hybrid (Manchester, NH or Rockville Centre, NY) or Remote

Summary

Assists members of the Insurance Operations Department by completing a wide variety of assignments that involve technical complexity. Demonstrates a solid understanding of procedures and ability to produce timely high-quality work.

Essential Functions

  • Collects, analyzes, and maintains data relating to specific accounts and claim trends.
  • Conducts day-to-day processing activities, including data entry, notes, entering incident details, creating exposures, and associated tasks to assist the Claims Analysts.
  • Reviews and maintains materials received or produced by Insurance Operations department, including legal pleadings, billings and invoices.
  • Initiates and documents claim investigations.
    • Drafts and sends Request for Information letters
    • Compiles a detailed Investigation Summary
  • Drafts correspondence, including coverage analysis letters.
    • Uses relevant insurance policies to select appropriate language
    • Provides Claims Analyst with a substantive letter documenting the coverage position
  • Organizes lengthy policies for Claims Analyst.
    • Separates underwriting materials
    • Ensures all listed policy forms are present in the policy
    • Searches for/locates and missing policy forms
  • Drafts claim evaluation summaries for Claims Analysts.
  • Assists in setting up meetings for Insurance Operations Department Associates as requested.
  • Assists in the preparation of weekly, monthly, and quarterly reports for Claims Management team, affiliate companies, and parent company.
  • Completes requested research - Corporate, Case Law, reports, and searches.
  • Assists in collecting and reviewing materials related to implicated insurance coverage for specific accounts.
  • Gathers, analyzes and organizes information, legal pleadings, discovery and other documents.
  • Oversees collection of records and other information for dissemination to outside counsel.
  • Performs various aspects of the litigation process in compliance with standard procedures. At the outset of the litigation process, the Insurance Operations Assistant a) manages service of process, b) administers conflict checks and retention of counsel, c) manages legal documents including contracts and settlement agreements, and d) conducts searches for all relevant documents to be sent to outside counsel.
  • Consults, assists and coordinates with Litigation Managers and outside coverage counsel on all aspects of case management including responding to all discovery requests (verbal and written), third party inquires and subpoenas and overseeing discovery responses, updates, and deadlines.
  • Establishes and maintains effective working relationships, both internally and externally, to ensure compliance with case deadlines.
  • Acts as project manager to track tasks/assignments, persons responsible and target deadlines to ensure timely completion of litigation activity and proper resource allocation.
  • Reviews complaints to identify pertinent causes of action and document categories to preserve.
  • Maintains assigned litigation files and databases with appropriate diary controls.
  • Reviews court orders and discovery requests received during litigation and coordinates the collection of data within established deadlines.
  • Assists with legal research including online research tools (WestLaw, PACER)
  • Assists with e discovery searches, including searches of emails, internal network drives, and applications.
  • Prepares status reports for Management and assists with audits.
  • Prepares draft reports for Litigation Managers, including draft reinsurance reports with financials.
  • Supports Reinsurance with a variety of tasks, including, but not limited to, applying cash.
  • Consistently deliver superior customer service to both internal and external business partners.
  • Serve on committees and special projects as assigned.
  • Empower self and teammates to continuously improve RiverStone's business processes/systems and develops and escalates ideas and solutions.

  • Complete familiarity with the attorney/client privilege, work product doctrine and other doctrines/privileges that protect attorney client material from disclosure as well as strategies to ensure protections are in place and maintained.

Experience

  • A minimum of 1-year business related experience required.
  • Prior work experience in an insurance claims department or law firm and/or experience as a litigation paralegal
  • Customer Service experience preferred.

Work Environment / Physical Demands

This position operates in a professional cubicle based collaborative environment and must have the ability to timely produce thorough, accurate work with many competing demands, deadlines, and position uses standard equipment such as phones, computers, copiers/printers and filing cabinets. Noise level is moderate. While this is a largely sedentary role, the employee is regularly required to talk or hear; stand; walk; bend; use hands to handle or feel; and reach with hands and arms. On occasion the individual must be able to lift and transport boxes weighing up to 30 pounds.
