JOB RESPONSIBILITIES:


Primary purpose:

Responsible for corporate office reception, internal support services to all employees and direct support to facilities management team. Perform various clerical, administrative and general office duties involving report writing, word processing, invoice coding and tracking, file and records management, budgetary tracking, and telephone support for the regional office. Perform analysis of statements, invoices, and prepare spreadsheets and reports as requested.

Essential duties and responsibilities:

* Administer front office operations including management of multi-line switchboard, greet visitors, and receive incoming and outgoing deliveries.

  • Processing invoices and accruals, and to assist with variance reporting.
  • Conference room scheduling.
  • Maintenance of security and parking permit database; distribution of facility access cards and parking permits.
  • Preparation of monthly departmental reports including, but not limited to, visitor counts, data center security report, etc.
  • Completion of facility work tickets, as assigned.
  • Monitor security cameras.
  • Primary responsibilities for facilities help desk calls.
  • Back-up duties include all positions and responsibilities of facilities staff, including mail and copy center operations.
  • General clerical and filing responsibilities.
  • Perform all data entry required.
  • General office responsibilities.
  • Work in an accountable and responsible manner to perform the required and expected duties with minimal supervision.
  • Work cooperatively and effectively with others and maintain confidentiality when appropriate.
  • Deal with a wide variety of people with tact, courtesy and professionalism.
  • Complete work in an organized and prioritized fashion.
  • Maintain a high regard for personal safety, for the safety of company assets and employees, and the general public.
  • Speak clearly, both in person and by telephone, using a high level of verbal and listening skills.
  • Maintain a regular, punctual and dependable attendance with high level of performance.
  • Occasional overtime may be required and is anticipated.

  • Will work non-traditional hours as needed.

JOB REQUIREMENTS:


Minimum requirements:

Education:

  • High School diploma or equivalent.

Experience/Specific Knowledge:

  • Minimum one-year, recent multi-line switchboard/receptionist experience in a large corporate office environment; 2 years' experience is highly desirable.
  • Intermediate proficiency level in MS Office applications that may include but are not limited to Excel, Word, Access, PowerPoint and Outlook.

Certifications, Licenses & Registrations:

  • Must possess and maintain a valid driver's license and a driving record satisfactory to the company and its insurers (for travel).

Competencies, Skills & Abilities:

  • Intermediate proficiency with Microsoft applications (including but not limited to Word, Excel, Outlook, and PowerPoint, Adobe, Bluebeem) for the purpose of word processing, spreadsheets, and information retrieval.
  • Must possess and regularly demonstrate excellent communication and customer service skills.
  • Strong organizational and interpersonal skills; must be able to organize and prioritize daily work and maintain confidentiality.
  • Must be able to operate a multi-line switchboard consistently and proficiently.
  • Ability to write routine reports and correspondence.
  • Ability to successfully perform the required and expected duties with little direct supervision.
  • Must possess and always demonstrate a professional attitude and appearance, and a positive disposition.
  • Ability to work with a team, take direction from supervisor(s), focus attention on details, follow work rules and adhere to established work schedules.
  • Must be able to perform all essential and marginal functions of the job.

Physical Demands:

  • Must be able to sit for prolonged periods of time.
  • Must be able to stand/walk for prolonged periods of time.
  • Must be able, in a safe manner, to lift/carry/move up to 25 pounds on an ongoing basis.
  • Must be able, in a safe manner, to lift/carry/move up to 50 pounds on an occasional basis.

Working Conditions:

  • May be required to carry a company-provided cell phone and be available to respond during working and non-working hours.
  • The successful candidate will be required to clear a drug screen and a complete background check, including credit report for certain positions, after an offer has been extended and prior to being employed.

PREFERRED EDUCATION, EXPERIENCE, CERTIFICATIONS, COMPETENCIES, SKILLS, & ABILITIES:Above the minimum requirements; not required but advantageous in this position:
  • Two years' recent work experience in a large corporate office environment is highly desirable.
  • A general working knowledge of facilities-based operations is a plus.
