POSITION SUMMARY

This position serves as the development coordinator for the Williamson Health Foundation and supports Foundation staff and the Board on an administrative function. This position is responsible for managing the foundation office and activities, coordinating the daily business operation of the Foundation office, supporting event management, and demonstrates proficiency and knowledge in donor relations and constituent management through software.

POSITION REQUIREMENTS

Formal Education/Training:
Bachelor's Degree preferred or equivalent combination of work experience and training considered; Major in Business Administration, Health Care Administration, Communications, or Marketing is a plus. Development and Donor Relations experience preferred.

Workplace Experience:
5 years minimum experience in customer service and office-related skills.

Equipment and Skills Training:
Computer software knowledge: Raiser's Edge software preferred; Microsoft Office Suite including Word, Excel, Power Point and Outlook. Telephones, Fax, Color Printers, Laptop Computer and LCD HD monitors.

Physical Environment:
General office environment, in addition to outside corporate and community event locations as deemed necessary by the department's work plan.

Physical Effort:
Ability to stand up to four hours at time, load and unload boxes for special events outside WH. Must exhibit strong communication skills--both verbal and written.

PERFORMANCE STANDARDS
  1. Manages the daily business operation of the Foundation office in a professional manner, including but not limited to organizing, stocking, incoming and outgoing mail. Handles front line communication for Foundation office.
  2. Generates correspondence on contract renewals, sponsorships/donation requests. Generates memos, reports, and other communication as needed.
  3. Effectively communicates with donors/potential donors and promotes development initiatives with internal and external audiences.
  4. Proficient in and manages Raiser's Edge database and all modules utilized for entry and management of constituents.
  5. Screens for grateful patient process using ResearchPoint and Altair; conducts in-depth research of potential donors making note in constituent file. Manages Grateful Patient Program; Calls monthly meetings with Foundation staff to assign prospects to portfolios and records those assignments and all research data in RE.
  6. Handles all donor acknowledgements. Prepares gift agreements, proposals, etc., tracking activity through completion; Maintains accurate and up-to-date files and constituent records.
  7. Responsible for the financial operations of the Foundation as AP, AR, audit liaison and maintains clean financial records in accordance with hospital policy and Foundation policies and procedures for record keeping. Handles donations and prepares deposits.
  8. Schedules Board and committee meetings and handles any details for the meetings, including securing meeting space, meals, handouts, special guests, etc.
  9. Provides administrative support to all Foundation Board Committees. Prepares agenda and minutes for the Foundation Board of Directors' and Committee meetings. Attends all Foundation Board and Committee meetings.
  10. Works with Annual Giving Manager, other staff and vendors to ensure distribution of mass mailings - provides accurate segmentation of data from RE for proper targeting. Works in collaboration with Director of Development and Annual Giving Manager to distribute quarterly newsletter.
  11. Coordinates special events for the Foundation from planning to completion. Participates as a volunteer for any hospital activity exhibiting spirit of strong teamwork.
  12. Special projects and other duties as requested or assigned by Foundation Board, hospital administration or Foundation Director.
