Discover Impactful Work:

Navigate customs requirements, coordinating the logistical set up of shipments with courier vendors, and reviewing documentation to prevent delays to shipment. The Shipping Logistics Specialist will perform shipment planning, booking shipments with carriers, generate required shipment documentation, coordinate schedules, package the specialty samples, and perform related system transactions. The Specialist will perform PO issuance, shipment and order tracking, and package collections. The Specialist will be part of a global team which can be used to resolve import roadblocks, and act as a subject matter expert in local shipping regulations and standard processes for importing and exporting goods into their country.

A day in the Life:

  • Consolidates all shipping responsibilities from Lab Ops, scientists, various couriers into one central SPOC / SME
  • Manage Third Party Oversight, Communication, Strategy, Payment
  • Manage documentation
  • Request HTS codes, assign Incoterms, assess if Dangerous Goods (or consultant) is needed, call out need for permits to global lead, use the existing valuation tool to assign values to shipments
  • Track shipments, take request from scientist & send to appropriate courier, collect packages, safely package the material & deliver to appropriate teams (by site)
  • Work directly with vendor to schedule shipments, identify & escalate problems
  • Manage imports & liaise with other country teammates for knowledge sharing & assistance
  • Primary interface between science & vendor
  • Build out documentation, standard methodologies, ways of working for streamlined efficiencies in Vx R&D Shipping
  • Complete all shipment requests that originate from Vx R&D US Scientists, from documentation, to corresponding with the vendor and scientist, to packaging the samples and following up on issues
  • Attend & contribute to weekly meetings with broader team
  • Complete all other activities required by Global Shipping Team Lead

Education and Experience Required:

  • High / Secondary school diploma or equivalent and relevant formal academic / vocational qualification
  • AND 2+ years of previous experience that provides the knowledge, skills, and abilities to perform the job or equivalent combination of education, training, & experience.
  • Preferred: Hazardous good training / experience

In some cases an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

Knowledge, Skills and Abilities:

  • Knowledge of inventory flow and control
  • Knowledge of laboratory and regulatory requirements (documentation, sample storage)
  • Ability to understand and independently apply appropriate laboratory standards to everyday work
  • with regard to documentation and sample / standard handling
  • Familiarity with Microsoft Office including Word and Excel
  • Good written and oral communication skills
  • Effective time management and project management skills
  • Problem solving/troubleshooting abilities
  • Ability to work in a collaborative team environment
