POSITION SUMMARY:

The Program Coordinator will manage the studies that are under the direction of the site PI. The Program Coordinator is responsible for coordinating all operational activities of Boston Site, including development and monitoring of the studies protocols with the Director of Multi-site operations, hiring and training of student interns, data tracking and reporting, patient recruitment, administers questionnaires, abstracts medical records, maintains patient databases, enters data into sponsor-specific electronic data capture forms, performs administrative tasks, assists in grant preparation, and participates with the research team in preparation of data and other reports. Will also assist with audits and quality. Must be able to work independently and make sound judgment with study protocols, data evaluation, and recruitment strategies. Prepares and presents data reports and oversees work of research assistants.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Job responsibilities

  • Evaluate and track eligibility of patients seen in the BMC clinic/ER for eligibility in the sentinel research study. Conduct telephone interviews.
  • Schedule patients for study participation. Obtain informed consent (for non-treatment studies) and register patients to studies and other protocols.
  • Review and abstract medical records of patients for limited data collection per IRB.
  • Collect and organize patient data. Review data for quality and completeness and recommends changes to protocols and data evaluation.
  • Maintain IRB and regulatory submissions and maintenance of regulatory files
  • Maintain on-going communications with research managers, director of multisite operations, and PIs for data collection needs.
  • Co-creates with site PI and implements patient recruitment strategies.
  • Oversees work of research assistants.
  • Prepares and presents data reports and findings.
  • Other duties include send out mailings, take inventory/ordering supplies, monitor and set up equipment
  • Oversees and implements new protocols, reporting practices to ensure successful project coordination.
  • Under PI leadership, hires, trains, and supervises staff, including part-time staff members, interns, and students, and others as designated.
  • Oversees regular trainings and standardization procedures for quality control.
  • Conduct weekly staff meetings to review requests for training and consultation, discuss intern training program and other relevant programmatic topics.
  • Runs monthly reports for intervention tracking and ensure data is uploaded to EXCEL, REDCap, and EPIC on a regular basis.
  • Participates as needed in meetings with partner organizations.
  • Attends/participates in regular management and leadership meetings with supervised and senior staff.
  • Works cooperatively with other team members.
  • Provides and receives constructive feedback from team members.
  • Contributes to the development of new ideas that impact the program.
  • Maintains patient confidentiality.
  • Oversees other projects according to PI's needs.
  • Collaborates with Director of Multisite Operations and Site Managers to update the Manual of Operations.
  • Writes the quarterly progress reports and annual progress reports
  • Conducts employee performance evaluations and disciplines when appropriate to include termination, with appropriate supportive documentation as per established policy
  • Encourages staff and personally advances professional growth and development through participation in educational programs and workshops and maintaining knowledge of industry standards and practices.

  • Performs other duties as assigned or as necessary.
  • Is responsible for the safety of staff and equipment related to the project.
  • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided.

  • Follows established hospital infection control and safety procedures.

JOB DESCRIPTION CHARACTERISTICS

EDUCATION:

Bachelor's Degree (or equivalent combination of formal education and experience) required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

None

EXPERIENCE:

Minimum a minimum of 1 years related experience in the field. Non-profit program coordination is a plus.

KNOWLEDGE AND S1ILLS:

  • Knowledge of social/behavioral science research methods & principles. Knowledge of program evaluation is helpful.
  • Demonstrated ability and experience in areas such as training, team building, program development/management, problem solving, and community building.
  • Ability to be self-directed, prioritize essential tasks and balance numerous responsibilities.
  • Must have excellent interpersonal skills, including and ability to work with individuals from a variety of disciplines, and on a variety of levels.
  • Excellent oral and written communication and ability to be detailed oriented in all notes and documentation
  • Knowledge on EPIC and REDcap tools
  • Proficient with standard Microsoft programs, and how to present and run report and metrics (i.e. MS Word, Excel, PowerPoint, Outlook) and web browsers.
  • Bilingual fluency in English and Spanish strongly preferred
