Salary
Salary is dependent on experience and the range is $21.84-$34.08/hr. ($45,427 - $70,886 annually).

The Executive Office and Administrative Specialist coordinates administrative, client casework, meeting planning, and clinical program support for the Binger Center for New Americans (BCNA) four law clinics: the Immigration and Human Rights, Detainee Rights, Federal Immigration Litigation and Rural Immigrant Access Clinics. In addition, the BCNA houses an active immigration Outreach and Education program, adjunct professors, student directors, and student attorneys enrolled in the clinical courses offered. The ability to provide outstanding administrative support, remain professional, and remain calm when processing multiple planned and unforeseen requests is critical in this position.

The position requires bilingual fluency in both Spanish and English.

This position is located in the Law Clinics office at the University of Minnesota Law School, on the west bank of the Minneapolis campus, and reports to the Law Clinic Administrator. Must be able to work a 40-hour week. Must be able to work Monday-Friday from 8:00 am-4:30 pm. Remote work one day per week may be possible after six months of employment.


Responsibilities:

Binger Center for New Americans (BCNA) support and administration - 40%
Binger Center Programming

  • Submit event page requests, prepare registration forms, evaluation forms, CLE applications and manage payment portal (when applicable) for BCNA events.
  • Reserve space, technology & event resources and make food orders for events.
  • Assist with event promotion and communications, including the creation of flyers in Canva, sending event information to partners, via subscriber list, and via social media.
  • Coordinate logistics for outside speakers including travel, mileage, and parking reimbursement and processing speaker honorariums.
  • Proof and format program materials. This may include the creation of program materials.
  • Manage phone calls and email inquiries from registrants for Binger Center events.
  • Staff registration table and provide logistical support during events.
  • Assist with post-event communication and promotion.
  • Gather related data and help in the analysis of past and current practices to determine improved administration of the Center. This may require putting together action memos and recommendation plans for the BCNA Executive Director to review.

Binger Center Communications:

  • Monitor the Binger Center general email inbox.
  • Coordinate and track center events, media coverage, clinic case-related data, and other outcome measures for the interim and annual reports.
  • Post event information, media, and program highlights to the Binger Center's social media accounts.
  • Work with colleagues to prepare Binger Center quarterly Newsletters and distribute through Salesforce and mail materials required for the program.
  • Manage Binger Center's mailing list in Salesforce, including adding new subscribers who sign up through event registration forms
  • Update Binger Center listservs with new members (i.e. BCNA students and BCNA alumni).

Binger Center Financial Administration Assistance:

  • Process invoices and purchasing card charges, while keeping organized internal records of program spending and working closely with the BCNA Executive Director and Law Clinic Administrator
  • Process travel, mileage, and parking reimbursement and speaker honorariums for events.
  • Assist with coordinating travel for Binger Center faculty, staff, and students and associated reimbursement requests through Chrome River.

Binger Center Team Support:

  • Help prepare agendas and take minutes of Binger Center Team meetings.
  • Help with set up for hybrid meetings

TIPS volunteer interpreter program

  • Maintain volunteer database and communicate with volunteers, train volunteers, coordinate and manage interpretation and translation requests from faculty and students, manage social media presence to recruit further volunteers, and mentor volunteers as needed to facilitate quality interpretation/translation.

Administrative coordinator for assigned clinics, faculty, staff, and adjunct professors - 30%

  • Provide administrative support for 3-5 full-time faculty members, 3-5 adjuncts, and Education and Outreach program staff.
  • Provide support for and respond to requests for assistance from the Law Clinic Administrator.
  • Independently complete administrative projects assigned by Center faculty and fellows by planning and developing processes of how best to reach the project objective.
  • Edit and assemble course manuals for assigned faculty and adjunct taught clinics within the stated time frames from Copyright Permissions and the Copy Center; and/or upload materials to Canvas.
  • Reserve law school courtrooms/classrooms and coordinate with educational technology as needed.
  • Create and manage clinic student files for faculty.
  • Assemble client interview folders for students.
  • Set up and assist with conference calls.
  • Assist with processing invoices related to assigned clinics, including faculty reimbursements via Chrome River.
  • Supervise interns as directed.

Client-related/law firm administrative support - 30%

  • Answer the Law Clinic's main phone line and direct and/or answer calls in a professional manner.
  • General Clinic reception duties - greet visitors and address questions.
  • Provide a full range of clerical support to Law Clinic faculty and fellows and assist law students: structure and maintain law clinic legal files; process legal correspondence and legal documents; schedule meetings; assist with brief assembly and mailing as needed; respond to inquiries; make travel arrangements; prepare student expense reports.
  • Follow and enforce clinic policies and procedures.
  • Open, close, update, and maintain client records and files in Clio and hard files.
  • Occasionally provide Spanish interpretation and translation for the Clinics.
  • Serves as a notary public for students, clients, and the law school.
  • Assist student attorneys, student directors, and clinic faculty with miscellaneous needs.
  • Process incoming and/or outgoing mail.

Qualifications


Required:

  • High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
  • Computer experience required. Knowledge of Microsoft Office including Word, Excel, Publisher, PowerPoint, and Google Suite applications.
  • Experience or willingness to train on Salesforce, Chrome River, and Destiny One.
  • Ability to multitask and act effectively with autonomy.
  • Requires knowledge and/or demonstrated ability needed to perform administrative, event planning, and clinical program support in a fast-paced, law office work environment.
  • Excellent oral and written communication skills.
  • Ability to translate/speak Spanish.

Preferred:

  • Experience working at a law firm, law school, or in a law clinic program.
  • Immigration law firm and case management software experience.
  • Demonstrated multicultural skills.
  • Graphic design and communications experience.
  • Events experience.
  • Notary Public or ability to become a notary public.
