The Office of the Registrar is responsible for registration, compliance, transcript management, degree conferral, document management, classroom scheduling, academic data reporting, Veteran benefits and Military Outreach.



The Office of the Registrar at Georgia State University is seeking to hire a part-time Enrollment Services Specialist (Temp). The Enrollment Services Specialist (Temp) reviews student complaints, petitions for policy waivers and variances, and appeals related to the policy on Revision of Class Schedules (Add/Drop/Withdraw). This position works closely with the Associate Registrar and Senior Associate Registrar with monitoring student inquiries in-person and through Salesforce and email; assist with processing emergency withdrawal requests; and serves as liaison with faculty and staff.

WHAT WILL YOU DO:


This position is responsible for responding to student questions about the Add/Drop/Withdraw policy and the university petition process to request an exception; communicating with students about preparing and providing necessary supporting documentation; consulting with faculty and staff in the administrative offices (Advisement, Financial Aid, Student Accounts, etc.) to research the issue; problem solving; making petition decisions; and informing the student of the decision outcome. The incumbent keeps record of each petition decision and reports the information to the Senate Committee on Admissions and Standards annually.



DUTIES AND RESPONSIBILITIES INCLUDE:



  • Provides impartial and confidential consultation to students who wish to dispute the university's policy on the Revision of Class Schedules (Add/Drop/Withdraw). Provides a comprehensive review of the student's claim, which includes but not limited to, evaluating the student's course registration, academic progression, tuition and fees and the source in which the tuition was paid (financial aid, grants, scholarships, etc.) to seek a resolution.

  • Reviews student petitions for a policy waiver or variance; consults with faculty, academic advisors, and university representatives in Student Accounts, Financial Aid, and the academic offices to assess the student's claim; notifies the Office of Dean of Student of cases that possibly infringe upon the University's Student Code of Conduct policy; informs manager of findings and the decision outcome; and notifies the student of the decision outcome through email. Makes all necessary modifications to the student academic record (registration and grades) for approved petition requests.

  • Assists with processing the Dean of Students' Emergency Withdrawal requests.

  • Manages the Salesforce inquiries and forwards the inquiries to the appropriate staff in Registration and Compliance; collaborates with the Associate Registrar and Senior Associate Registrar to research registration issues; and serves as liaison with faculty and staff.

  • Maintains all petitions and appeals and makes the records available to the Senate Committee on Admissions and Standards upon request.

  • Organizes and manages the appeals process for those students who wish to dispute the initial decision outcome. Sends copies of the petition to the Registration Advisory Committee; compiles the committee's findings; and forwards the committee's recommendation to the Senior Associate Registrar and Registrar for final decision.

  • Perform other related duties as assigned.

Minimum Requirements:



  • A Bachelor's degree and two years of related experience or a combination of education and experience.


Preferred Requirements:



  • Experience working in a cross-functional team environment.

  • Familiarity with the appeals process at a university level.

  • Ability to research issues, solve problems and make appropriate and sound decisions.

  • Considerable knowledgeable of university policies and procedures, Family Educational Rights Privacy Act (FERPA).

  • Ability to communicate effectively, both verbally and written.

  • Experience using the Banner Student Information System.

  • Ability to multi-task; pay attention to detail; and exhibit excellent customer service skills.

  • Effective time management and organizational skills.
