Description

We are seeking a CME Coordinatorwho is a professional meeting planner in the Office of Continuing Medical Education (OCME) and develops and executes all aspects and formats of Continuing Medical Education (CME) programs sponsored by Johns Hopkins University School of Medicine. Medical meetings range in attendance from 50 to over 1,000 with budgets from $30,000 to over $600,000. The CME Coordinator functions within the guidelines of the American Council for Continuing Medical Education (ACCME) under the auspices of the OCME and in collaboration with the faculty course director, a Johns Hopkins University faculty member. The CME Coordinator exercises autonomous and independent judgment to plan meetings.


Specific Duties & Responsibilities


Financial & Budget Analyses

  • The CME Coordinator analyzes financial data and develops preliminary reports to forecast financial independence of a prospective program.
  • She/he develops and oversees the entire course budget, expected revenues and expenses, to meet the financial goals of the program.
  • Budgets range from $30,000 to over $600,000.


Commercial Support

  • The CME Coordinator works in collaboration with faculty to write and submit grant applications to various types of commercial and non-profit supporters to obtain financial support.
  • The coordinator is also responsible for the ongoing management of awarded grants, including processing of agreements, payments and reconciliations.
  • The coordinator will also be responsible for the ongoing management of exhibitor request submissions and onsite and /or virtual logistics.


Marketing & Promotion

  • The CME Coordinator is responsible to investigate, scrutinize and ultimately determine the most effective and reliable avenues to promote a medical conference, which includes working with graphic designers, printing companies, mail houses/postal services, to name a few.
  • This also includes marketing in national medical education databases.


Contract Analyses & Negotiations

  • The CME Coordinator is responsible for the developments, analyses and negotiations of multiple contracts, written and verbal, associated with a conference.


Other Responsibilities

  • The CME Coordinator has the responsibility of all the above and more, as well as the following aspects of conference coordination.
  • Accreditation Agencies (ACCME, OCME and many other affiliated professional agencies)
  • Faculty presenters (conference director, Johns Hopkins' faculty and guest faculty who are clinicians and/or scientists who are nationally and internationally renowned.)
  • Conference Infrastructure (Convention Service personnel to prepare food/beverage, when applicable, meeting and exhibitor space layout whether as a live activity or virtual, audiovisual requirements, evaluations and post-activity meetings with activity director).
  • Participants (oversee registration aspects, including workshops and other concurrent tracks, and if live only activity, oversee hotel group room block, special guest services, airline and automobile agencies, bus transportation, meal functions and limousine service).


Special Knowledge, Skills, & Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point, etc.).
  • Excellent written and oral communication skills.
  • Excellent organizational skills.
  • Excellent time management skills.
  • Demonstrated ability to collaborate with diverse stakeholders, including faculty and staff.
  • Demonstrated ability to work with diverse stakeholders in professional manner.
  • Ability to work independently and as part of a team.


Technical Qualifications or Specialized Certifications and any Specific Physical Requirements for the job.

  • Must be able to communicate effectively in person using spoken English.
  • Must be able to communicate via telephone and videoconferencing (such as Zoom and Microsoft Teams).
  • Must be able to carry out support of programs that require extensive work at a computer.
  • Occasionally lifting, carrying objects weighing 10lbs. or less.
  • Occasionally pushing, pulling objects weighing 30lbs. or less


Minimum Qualifications
  • Bachelor's Degree.
  • Two years of related experience.
  • Must be able to travel to off-site locations and work some weekend, early morning, and/or evening hours.



Preferred Qualifications
  • Experience in meeting planning.
  • Experience working with an accredited provider of professional education.

Starting Salary Range: $53,300 - $93,500 Annually ($70,480 targeted; Commensurate with experience)
