Job Description

General Purpose of Job:

Provides support and performs a variety of secretarial/administrative tasks for department Staff. Duties include developing and maintaining systems, preparing daily work schedules, typing forms/correspondence, preparing departmental documents and reports, assisting individuals in person and over the phone, scheduling appointments, anticipating the needs of the patients and maintaining departmental records and files. Assumes responsibility for accurately gathering pertinent information and registering clinical patients. Assists in gathering patient preferences and responsible for providing experience-based service.

Essential Duties:

  • Consistently exemplifies "on-stage" behavior.
  • Is responsible for creating a destination, experience-based service; delivers customized experiences using patient profiles.
  • Displays a high level of organization and is capable of effective and efficient multi-tasking.
  • Greets and checks in patients; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel.
  • Obtains patient's/client's demographics, medical, and insurance information and records information; obtains insurance authorization, co-pays, co-insurance, deductibles, out of pocket expenses, and number of allowed visits. Collects all necessary information needed for proper billing.
  • Assumes responsibility for accurately registering women's health patients; focusing on customer relations and promoting good will between patients, physicians, hospital and clinical staff.
  • Assist patients and participants with completion of required paperwork; ensures accuracy and completeness of paperwork and enters persons into computer system.
  • Contacts insurance companies regarding extensions and continuations of clinical services.
  • Meet with and answers patients questions regarding covered benefits and out of pocket expenses. Collects and records patient co pays.
  • Working knowledge of diagnosis codes and treatment codes in order to obtain proper authorizations.
  • Responsible to inform clinical staff of covered and non-covered services, limitations of benefits, and situations regarding out of pocket cost for the patients. Also, appropriate standards for patient's allowable visits, time frames, and how to minimize mistakes with reimbursement.
  • Types letters, correspondence, forms, reports and other documents. Compiles and maintains department statistics; generates related reports. Performs other clerical related tasks i.e. copying and filing.
  • Establishes and maintains departmental records and files.
  • Orders department supplies.
  • Assumes responsibility for opening, maintaining orderly appearance and experience-based atmosphere, and closing department.
  • Attends staff meetings and in-services as assigned. Records meeting minutes as directed.
  • Supports and serves as a role model for our mission, vision, values and customer service initiatives.
  • Adheres to the organization's policies & procedures, and compliance guidelines.
  • Performs other duties as assigned.

Job Requirements General Requirements * CPR/BCLS certification Work Experience * No experience is required. * Coursework/training in office management, business or related fields--Preferred. * Secretarial/administrative experience in a medical related field--Preferred. * Customer service experience and Medical Terminology--Preferred. Education * High school diploma or GED Specialized Knowledge and Skills * Working knowledge of office and registration procedures * Knowledge and understanding of functions of assigned departments * Written, typing and computer skills necessary for the creation and compilation of various documents, communications and reports * Interpersonal skills necessary to provide courteous and accurate information, on the phone and in person, to all levels of staff, patients, families, and others. Presents self in a warm, professional and caring manner * Demonstrates professional appearance * Organizational skills to prioritize work flow and maintain department files * Mental ability to work on tasks requiring accuracy and attention to detail, adapt and respond to multiple priorities and demands, and handle information of a confidential nature * Physical ability to properly operate required office equipment * Ability to read and understand labels and instructions on cleaning solutions and equipment * Physical ability to stand for prolonged periods of time, transfer/lift/reposition patients, reach/stoop/bend/kneel and crouch * Ability to collect co pays at time of service * Ability to balance cash drawer * Demonstrates ability to use a keyboard as may be required to perform the essential duties of the job
