Job Summary

Under the general direction of the Assistant Director of Student Organizational Development and Management, the Campus Activities Program Coordinator advises the University Programming Council (UPC) in planning events and implementing initiatives supporting University goals for the student experience and student success. UPC functions as an agency of the Student Government Association (SGA).

Essential Functions

  • Serves as primary advisor to UPC and may advise one or more Registered Student Organization Council (RSOC) as assigned/as needed. Provides guidance on student-initiated member recruitment and retention and event planning (including policy and procedure adherence, risk management, procurement, travel, and budget development and management). Assists group leaders with developing assessment plans for organizational effectiveness and for planned events. Ensures understanding and adherence to related compliance requirements and to provisions of the Code of Student Conduct. Monitors related budgets and produces reports, as required.
  • Participates in and/or lead Student Engagement and Leadership (SEL) planning efforts in support of major campus events, including but not limited to: Fall and Spring Welcome programs, New Students Orientation and Transitions, Homecoming, Parents and Family Weekend, Spring Concert, and Commencement. Provides event logistical support, as needed. Supervises and supports night and/or weekend activities on site.
  • Ensures that related student groups/Councils are informed on essential risk management principles and practices. Documents that group members have received applicable risk management training. Documents risk management training and related follow-up actions. Ensures compliance with risk management policies and best practices and advocates for necessary risk management practices. Assists with SEL risk management reporting.
  • Ensures UPC and other assigned groups/Councils receive and complete training requirements as prescribed by SEL and/or the University. Ensures access by groups to related resources and reference materials. Updates and keeps current all related information and materials. Documents these efforts as required by SEL for reporting purposes. Assists in development and implementation of SEL staff and student group multi-modal training plans, online modules, and the like, as requested.
  • Ensures that UPC and assigned Councils (and respective Registered Student Organizations) learn, implement, and routinely practice positive, effective and collaborative working relationships with associated SEL staff and other campus stakeholders. Monitors the quality of these working relationships and provides guidance for improvement, as needed. Serves as primary staff liaison for assigned groups to other campus departments and programs. Assigned groups may include the UMass Police Department, the Black Mass Communications Project, etc.
  • Applies and conforms to internal financial policies to ensure transactions are processed properly (e.g. Tax, Human Resources, Legal, and Federal). Ensures accuracy of recorded data through the use of analytical reports and reconciliations. Develops and manages budget for amounts between $251,000-$500,000 in Revenue Operations, Gifts/Endowments, and the Student Activities Trust Fund (SATF) to include forecasting. Monitors and reports variances/problems and recommend solutions to the Student Affairs and Campus Life Finance office.
  • Participates in the SEL on-call rotation as assigned.

  • Performs related duties as assigned or required. Understands responsibilities with respect to Title IX, Clery and other compliance requirements.
  • Demonstrates capacity, skill, and willingness to engage students and contribute to student success.
  • Understands responsibilities with respect to conflicts of interest and behaves in ways consistent both with law and with University policy.
  • Contributes toward creating a positive and respectful workplace. Uses access to sensitive and/or not yet public University -elated information only in the performance of the responsibilities of position and exercises care to prevent unnecessary disclosure to others.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's Degree and three (3) years' post-degree work experience including risk management, event planning and/or compliance.
  • Excellent knowledge and application of best practices related to university-based risk management and mandated compliance requirements.
  • Proven ability to effectively train constituents using multiple methods and tools, including online applications, which respond effectively to diverse learning styles.
  • Superior presentation and interactive communication skills, listening and speaking, with individuals and in group settings.
  • Excellent ability to establish positive and effective working relationships with diverse populations. Possess sensitivity to culturally diverse and marginalized populations.
  • Proven ability to effectively manage multiple concurrent priorities within established time frames.
  • Familiarity and level of comfort with Google Docs, MS Word, Excel, PowerPoint, and other productivity software.
  • Driver's license and ability to travel as needed.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Master's Degree in a related field but not limited to Higher Education Administration, Business Administration, or Public Administration.

Physical Demands/Working Conditions

  • Ability to lift 30 pounds and stand for long periods of time on a limited basis.

Work Schedule

  • Typical work schedule of Monday-Friday, 8:30am-5:00pm, with occasional nights and weekends to support and supervise on-campus events.
  • Required to participate in on-call rotation.
