Hours - Monday - Friday 8am - 5pm

Pay Rate - $23Hr.- $25Hr DOE 

FUNCTION: To schedule and coordinate all nursing staffing in accordance with community and state/federal requirements, utilizing and maximizing the benefits of OnShift.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: • Coordinate/manage nursing staff work schedules in accordance with our established policies and procedures and to meet the minimum staffing ratios required by law.  CNA License is Required

• Maintains the master schedule utilizing electronic scheduling program (OnShift) that accurately reflects Paid Time Off (PTO)/Leave of Absence (LOA) requests, reserve staff schedules, call-ins, and varied shift hours. The Master Schedule also reflects employees’ full names and their position (i.e.; RN, LPN, NT, CMA, CNA, light duty/MOD, orienting/training).

• Adjusts staff to meet the daily needs of the census, budget, and level of acuity. • Assigns staff to units depending on knowledge, experience, and ability

. • Prepares and may print or share through OnShift, schedules in advance for review by DON.

• Posts electronically on OnShift prepared schedules at least two weeks before the end of the current schedule cycle.

• Posts daily schedule positions that have not been filled at least one week in advance of need (every Monday or as determined by location management).

• Returns PTO request slips to employees and payroll promptly after scheduling or denying the PTO, working with HR.

• Maintains a yearly calendar for future PTO requests and anticipates and plans for difficult staffing periods (summer vacations, holidays, etc.).

• Notifies the DON of potential scheduling problems or crisis well in advance and takes appropriate immediate steps to correct the problem.

• Reports on new open positions to Human Resources, Payroll, and the DON.

• Contacts part-time, then PRN staff, then full-time staff to fill open positions to minimize the use of overtime. Divides available overtime among appropriate staff according to established procedure.

• Investigates scheduling conflicts and identifies if a clerical error or employee error has occurred and corrects documentation as needed.

• Notifies administrative staff when counseling or discipline is needed related to attendance or time system administration.

• Maintains confidentiality regarding staff issues (illness, personal problems, etc.).

• Coordinates the issuance and reordering of uniforms, maintaining adequate style and size selections, and recording uniform purchases for payroll deductions.

• Reviews payroll punches to look for tardiness, inconsistencies, and errors. Reports trends and need for follow-up to appropriate management staff. •

Reviews and prepares agency use reports and processes agency use invoices.

• Prepares and provides staffing reports to State or Federal agencies as requested.

• Assists the DON in coordinating the orientation, mentoring, and training of nursing employees
