Job Details:

Purpose

Provide administrative support to the ARL Stockroom and Safety program.

Responsibilities
  • Maintain a small stockroom: order stock items as needed, print issue cards and bin labels, restock supplies, relocation of stock items, request stock to be ordered; update and utilize the stockroom database as required. Submit purchase and work orders requests as needed.

  • Reconcile General Stock charges with ARL internal database to ensure all acquisitions, freight charges, and contract charges are entered and posted correctly. Problem solve stock balance discrepancies. Assist with General Stock physical inventories.

  • Monitor related safety items such as first aid kits, emergency eyewash stations, and flammable storage cabinets. Maintain records pertaining to storage and disposal of hazardous materials (HAZMAT) and submit request for HAZMAT pickup to campus as needed. Post Safety Data Sheets to SharePoint and FileMaker Pro. Maintain ARL safety bulletin boards.

  • Assist with identifying safety issues that may arise around the laboratory such as any slip, trip and fall hazards. Identify other safety hazards as found and submit work order for correction or resolution. Work closely with manager and Construction and Maintenance staff on safety enhancements and safety issues, when needed.

  • Other related function as assigned. Assist with other section areas as required. Pick up of supplies and materials from area vendors.

Required Qualifications
  • HS/GED

  • Five years of administrative support experience.

  • Three or more years of experience with purchasing and stocking office products and electrical/electronic/mechanical and safety related parts in a stockroom or retail environment.

  • Attention to detail including accuracy in all work areas to include data entry, spelling, grammar, and punctuation, in-check of stock items, and safety databases. Excellent written and oral communication skills.

  • Proficient with Microsoft Office Suite and experience with relational databases (FileMaker Pro, Access, etc.).

  • Ability to draft and finalize professional business correspondence such as e-mail, voicemail, letter and interoffice memorandum.

  • Demonstrated ability to compose and craft correspondence, maintain databases, and prepare reports.

  • Must know Web navigation with respect to research and procurement of supplies.

  • Relevant education and experience may be substituted as appropriate.

Applicant must have a dynamic skill set, willing to work with new technologies, be highly organized and capable of planning and coordinating multiple tasks and managing their time. The position will require attention to detail, effective problem solving skills and excellent judgment. Ability to work independently with sensitive and confidential information, maintain a professional demeanor, work as a team member without daily supervision and effectively communicate with all groups of clients. Able to work under pressure and accept supervision. Regular and punctual attendance.

U.S. Citizen. Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.

Preferred Qualifications
  • Bachelor's degree.

  • Some experience with required safety inspections and safety regulations.

  • Five or more years of experience purchasing and stocking electronic/mechanical parts in a stockroom.

  • At least three years of demonstrated ability using relational databases such as FileMaker Pro, Access, etc.

  • Three years of experience using SharePoint, printers and bar code scanners.

Salary Range

$38,500-$46,500+/negotiable depending on qualifications
