DESCRIPTION

The Rady School of Management provides business education through its Ph.D. program, Masters's degree programs, undergraduate minors and courses, and executive business seminars. In addition to these educational programs, the Rady School includes the Beyster Institute, the California Institute of Innovation and Development, and the US Israel Center.

Under the supervision of the Rady School of Management Assistant Dean of Finance and Administration, the Rady Facilities Management Specialist & Lead (FMS) performs multiple operational activities and services for academic, research, and administrative facilities, including organizing and participating in general cleaning/maintenance and repair, problem solving related to facilities/maintenance issues, procurement of materials and supplies via purchase orders, advocating for the Rady School when facilities services or repairs are needed from non-Rady sources: on campus facilities departments and/or external vendors, inspecting the quality and timeliness of work done by on campus departments and external vendors, emergency coordination support, move planning and coordination, development of procedures, coordination of facilities resources for event support, and communications related to infrastructure, security and safety.

The position is responsible for facilities-related issues associated with a 120,000 ASF building (2 buildings, 4 stories each) including internal/external space: planning, coordinating and supervising maintenance, repair & cleaning, security, and safety of office space, conference space, classrooms, labs. Responsible for evaluating and managing space needs (office assignments; departmental relocations).

The FMS applies job skills, policies and procedures to complete substantive assignments and projects, tasks of moderate scope and complexity, and exercises judgment within defined guidelines and practices to determine appropriate action. FMS performs semi-skilled work including operating and maintaining hand tools, power tools or other tools needed to complete duties; initiates and/or completes minor repairs or create signs; maintenance and installation.

This position serves as a Rady School liaison and department contact with both outside vendors and various UCSD departments for services to facilities and Rady parking lot, (e.g., Facilities Management (FM), Environment, Health & Safety (EH&S) for a wide variety of needs including heating/air conditioning, elevators, groundskeeping, water machines, ice machine, golf cart, etc.). This position identifies needs for repair, maintenance, replacement, adjustment. Prioritizes needs, identifies options/approaches/costs and recommends action with Rady Assistant Dean of Finance and Administration and then submits requests to external vendors and internal UCSD departments and follows up on all requests especially urgent FM and EH&S Help Desk requests (e.g., plumbing problems, air handler problems, indoor heating and cooling issues); ensures that work is completed in a timely, cost-effective, and quality manner and recharged accurately.

At the Rady School, the position reviews, prioritizes, and assigns all incoming maintenance and work order requests from Rady staff, students, and faculty via in person requests and via the online Rady Facilities Work Request online system, including prioritization of critical requests, and communication with requesting staff in a timely and appropriate manner. The position is an expert at custodian work and routinely cleans and maintains the facility: cleaning interior areas (classrooms, conference rooms, staff break rooms, and hallways), exterior areas(stairways, courtyards), furniture (desks, table tops); set up, movement, or light assembly of furniture (desks, bookcases, chairs, tables, couches, lamps, file cabinets, and other office-related furniture), preventive maintenance tasks, small repairs related to light fixtures, thermostats, soap dispensers, and other minor repairs.

The position is the lead for 2-3 day porters/custodians providing orientation, training, feedback. The position is also the lead for events support: conference room furniture set-up for a building with numerous conference rooms and a busy calendar for each. In advance of each day, the position reviews the Rady School of Management events calendar, identifies facilities event support needs; assigns staffing accordingly, anticipating and organizing needs based on type of event, audience, and best practices in furniture layout. Organizes, supervises, and participates in set-up, breakdown, clean up, creation/placement of directional signage.

This position identifies the need for additional/replacement/new cleaning and maintenance equipment and supplies, analyzes options, and recommends purchases, then submits the purchase orders based on University and Rady purchasing policies and procedures.

This position is primarily onsite with no remote work and is primarily day shift, Monday - Friday with occasional evenings and weekends as needed for Rady School of Management academic schedule and events.

QUALIFICATIONS
  • Working knowledge of practices and procedures relating to facility maintenance. Strong experience organizing, anticipating, arranging, or providing building-related maintenance, cleaning, repairs, building security, safety, emergency and conference room events. Knowledge of trade related to building maintenance, building cleaning and repair, and semi-skilled work.

  • Experience serving as a "lead" or supervisor in a busy building open to the public, i.e. office building, school, apartment complex, or large building, with frequent interruptions, variable workloads, and simultaneously keeping track of many diverse activities, requests and directions.

  • Experience informing maintenance custodial staff by providing guidance regarding routine facilities/cleaning/maintenance issues. Experience orienting and training on cleaning, safety, and customer service policies and procedures. Experience demonstrating proper techniques related to furniture, restrooms, floor care (carpeting, wood, tile, linoleum and concrete surfaces).

  • Skills to work under pressure of deadlines in a stressful environment. Experience and skill to re-prioritize and re-evaluate action throughout the day based on work order volume and during urgent situations related to facilities issues: temperature/air handling, floods/leaks/fires, loss of power/heat, inoperable manual locks or electronic locks and/or security cameras, emergency situations (storms, earthquakes, inclement weather security threats).

  • Demonstrated skill in using maintenance/custodial equipment, hand and power tools, vacuums, buffers, wet-dry vacuums, carpet rotary shampooers, steam extractors, high-pressure washers. Experience following (and instructing others on)safety practices and recognizing occupational hazards; Skill in reading and following assembly instructions.

  • Exceptional prioritization skills to react to same-day changes to conference room setups. Strong experience providing facilities-related support for conference room/meetings/ events, department events and procurement of goods and services. Experience assessing room set-up/furniture needs for different meetings/audiences. Hands-on experience with room and furniture set-up, catering arrangements, door locks, parking, crowd control, trash/recycling, equipment.

  • Working organizational and time management skills to work on multiple projects with competing deadlines, to establish goals and workload priorities, and to meet project deadlines within budget and time constraints. Demonstrated work ethic to detect areas needing repair/cleaning/removal or needing facilities-related services.

  • Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships. Experience facing and solving facilities-related issues "on the spot" while maintaining a calm demeanor. Experience maintaining effective working relationships with coworkers, customers/visitors, contractors or vendors.

  • Exceptional customer service skills. Experience responding effectively and diplomatically to complaints about heat, air conditioning, furniture placement, restroom supplies.

PREFERRED

  • Familiarity with UCSD campus departments providing facilities care, repair, maintenance such as Facilities & Maintenance, Environmental Health & Safety, Lock Shop, Surplus Sales, off-campus Storage.
