Job Summary

This position will serve as an Operations and Finance Officer supporting the Division of Occupational, Environmental, and Climate Medicine (OECM) at the Zuckerberg San Francisco General Hospital (ZSFG).

We are excited to recruit an experienced administrative professional to manage general finance, operations, and human resource activities for the Division. This position will manage monthly financial reconciliation activities for non-sponsored projects, including regular audits of payroll distribution and accounts, funding entry and salary cost transfers, and processing of financial journals. Additionally, this role will coordinate and lead key operational aspects such as IT, facilities, and capital equipment tracking. This position will also help with human resources, including managing the staff recruitment process, processing timesheet corrections, and serve as the point of contact to address human resource issues as they arise. Department Description

The Division of Occupational, Environmental, and Climate Medicine (OECM) is an integrated division in the Department of Medicine at the University of California, San Francisco with a presence across three sites including UCSF Medical Center (Parnassus/Mt. Zion), Zuckerberg San Francisco General Hospital (ZSFG), and the San Francisco VA Health Care System (SFVAHCS). OECM has achieved national and international recognition as a center for research, training, and clinical care in its field. As one of the few such Divisions firmly based within a Department of Medicine (most academic units are housed in a Department of Preventive Medicine or a School of Public Health), UCSF's occupational, environmental and climate medicine presence is particularly noteworthy in US academic internal medicine. The division's mission is advance the field of Occupational, Environmental and Climate medicine through research, education, and service to patients and the community.

Required Qualifications

  • Bachelor's degree in related area and three or more years of relevant experience and / or equivalent experience / training.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service with the ability to prioritize and accomplish multiple tasks with deadlines in a customer service setting.
  • Thorough knowledge of financial analysis and reporting techniques, and human resources policies and procedures for staff.
  • Knowledge of a variety of administrative operational activities such as accounting and payroll, clinical operations, and contracts and grants regulations and guidelines.
  • Detail oriented with ability to proactively follow projects through to completion, working independently without need for close supervision. Proven accuracy with demonstrated ability to manage multiple projects simultaneously.
  • Solid organizational skills and ability to multi-task with demanding timeframes and multiple customers.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Strong customer service and problem-solving skills.
  • Ability to analyze complex and non-routine issues, requiring innovative solutions
  • Ability to use discretion and maintain confidentiality.
  • Ability to use sound judgment in responding to issues and concerns, making both good and tough decisions in a timely manner.

Preferred Qualifications

  • Graduate degree in business, healthcare, or related field.
  • Three to five years academic administrative experience (working in an educational or medical environment).
  • Prior experience with UCSF-specific computer application programs, including PeopleSoft, MyReports, UCPath, and PeopleConnect.
  • Knowledge of general project management principles.
