The Marketing Operations Specialist leads resource planning & capacity report outs as well as financial execution for the Creative Innovation Studio. Candidates should have excellent attention to detail, some experience with budgets, and will be responsible for working with our Purchasing department to facilitate vendor payments - completing and submitting requestions, PO approvals, invoice submissions & tracking payments, and processing timely rent payment requests to support our Photo & Video Lab site.

This role will serve as our go to for resource allocation, ensuring that projects and tasks are assigned out to the applicable squad for creative execution. The candidate will also report out weekly on available capacity to help ensure balanced workloads across the weeks.

Key Responsibilities:

  • Lead invoicing process - submit for requisitions, route for PO#s, ensure all invoices are submitted and tracked to the necessary account.
  • Expense tracking - comparing estimates to actuals
  • Resource incoming projects, confirming that the work is assigned to the correct team to complete
  • Generate monthly finance reports, govern department wide time tracking and work with Finance partners to ensure allocations are correctly cross charged to internal business partners
  • Weekly team capacity allocations
  • Source translations for Creative Innovation Studio projects, ensuring that they are completed on time and on budget.

Minimum Requirements / Qualifications:

  • Bachelor's degree in marketing or related field, or equivalent work experience
  • 2 years related experience
  • System experience in Workfront is a plus
  • Excellent verbal, written communication and presentation skills, ability to organize and summarize information in order to communicate key points
  • Self-motivated individual with a focus on predictive & proactive planning
  • Ability to work independently, identifying issues and raising them to management, as well as offering potential solutions
  • Strong relationship building skills and the ability to work with multiple team members across departments in a collaborative and professional way
  • Excellent organizational skills and attention to detail with ability to prioritize multiple tasks and work to meet deadlines
