We're looking for a Meeting and Events Manager who is passionate about making a difference likes to wear different hats, and wants to have their creativity and new ideas valued.

WHAT YOU'LL DO

As a Meetings and Events Manager, your role will involve working with the Meetings and Events Team to help plan, organize, and execute IMI clients’ meetings and events. Your responsibilities will include

  • Coordinating all logistical aspects of IMI clients’ meetings and events, including researching venues and vendors, contracts negotiation and review, meetings and events specifications, food and beverage, audio visual requirements, arranging for room blocks, off-site functions, receptions, and layout of specialized areas and exhibits.
  • Collaborate with IMI clients’ leadership to develop engaging and informative meeting and event programs. This may involve identifying relevant topics, securing speakers, and coordinating educational sessions.
  • Work with the IMI Account Executives/Managers and/or the Marketing and Communications team to create marketing collateral related to IMI clients’ meetings and events.
  • Manage exhibitor and sponsorship sales, including space assignment and benefits fulfillment.
  • Create and manage IMI clients’ meetings and events budgets, including estimating costs, tracking expenses, and ensuring that meetings and events are executed within budgetary constraints.
  • Oversee the registration process for IMI clients’ meetings and events, including online registration systems, and provide support throughout the registration process including monitoring and reporting registration numbers.
  • Supervise on-site operations including coordinating with venue staff, managing event registration, overseeing room set-up, and troubleshooting any issues that arise.
  • Gather feedback from attendees and evaluate the success of IMI clients’ meetings and events.
  • 20% Travel

WHAT YOU'LL NEED:

  • Exceptional customer service skills.

  • Ability to multitask and work well under pressure.
  • Proficiency with Microsoft Office Suite.
  • Amazing organizational skills with consistent attention to detail.
  • Ability to prioritize and complete multiple tasks within deadlines with minimal supervision.
  • Four-year college degree preferred.
  • Professional credentials, i.e., CAE, CMP, PMP, etc. preferred
  • Experience with continuing medical education requirements a plus
  • Able to work collaboratively with other association departments and staff
