The Administrative Assistant II provides administrative support for the Long Term Acute Care Hospital (LTACH) and the leaders within the LTACH.

Responsibilities

A day in the life of the Administrative Assistant II at Hackensack Meridian Health includes:

  • Assists with handling all administrative tasks at the direction of the Head of the LTACH. Prepares all documents for Board Meetings including invitations, attendance and minutes..
  • Organizes workflow, including scheduling projects and setting deadlines on behalf of leaders and/or work groups. Assists with setting up interviews and provides reports on staffing trends.
  • Coordinates meetings, training, and events and may attend and provide administrative support at offsites, organizational events, training and meetings.
  • Generates reports, prepares and monitors invoices and expense reports in a timely manner as well ensures department invoices are processed timely in Peoplesoft .
  • May assist leaders with compiling and developing the annual budget.
  • Tracks patients admissions and discharges for Long Term Acute Care Unit.
  • Handles office/department needs for supplies and equipment and maintains inventory. Processes check requests for vendors and reconciles to vendor management.
  • Prioritizes calls through screening process, transfers calls, records messages, and delivers to appropriate personnel.
  • May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office.
  • Reviews and distributes daily mail correspondence to appropriate personnel.
  • Maintains up-to-date departmental manuals and files including Occupational Health and Compliance.
  • Responsible for confidential and time sensitive material.
  • Assists directors with payroll exceptions and reconciliations.
  • Works with a team to respond to regulatory surveys or visits.
  • Works with a team to create and update policies and procedures.
  • Adheres to the standards identified in the Hackensack Meridian Health's Beliefs- Creative, Collaborative, Compassionate, Courageous and Connected.
  • Other duties and/or projects as assigned.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs
  • Minimum of 5 years' experience in a related field
  • Minimum of 2 year's working for Executive(s)
  • Exceptional oral and written communication skills
  • Strong problem solving and organizational skills with attention to detail
  • Ability to prioritize and work independently on a variety of tasks
  • Must possess the ability to take initiative and handle stressful situations
  • Excellent written and verbal communication skills
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms
  • Bachelor's degree preferred
  • Experience working for a senior leader preferred
