*Position Summary*:

This position is responsible for representing the company by answering the company switchboard, greeting and sign-in of visitors, handling potential new employees by assisting in completion of job application forms for the Personnel Department. Sort inbound mail for the Accounting Department and verify the invoices, double check customer invoices and proformas for pricing issues. This person is in charge of scheduling conference rooms and recording and reporting any security issues.

* Duties and Responsibilities

1. Switchboard operator – Answer all incoming calls and process as quickly as possible.

2. Greet visitors and ensure they sign check-in and check-out book for security issues. Monitor visitors and enforce the visitor/vendor policy program. Follow up to make sure confidentiality agreement is signed, and that bump caps, visitor badges and uniform regulations are adhered to.

3. Review customer invoices prior to mailing and faxing invoices for billing errors. Update SOP for transmitting invoices to customers.

4. Check proformas against customer purchase orders for price discrepancies and any other order entry errors.

5. Daily processing and preparation of invoices received by mail for Accounting.

6. Schedule meeting, conference rooms and company vehicles on excel.

7. Follow “standard work” for assigned job areas and contine training for front desk security.

8. Distribute job application and assist in completion of application.

9. Perform other duties as assigned.

10. Food Safety is the responsibility of every employee. Any issues should be brought to the immediate attention of area supervisor or manager.
