Purpose

This position is responsible for supporting alumni and donor events, programming, constituent outreach, data management, and reporting.

Responsibilities
  • Alumni and Donor Events and Programming: Coordinate and execute webinars. Coordinate assigned board task forces and event volunteers. Manage board meeting RSVPs and attendee lists. Prepare board collateral materials (nametags, binders, handouts, presentation slides, event signage, etc.). Provide onsite support at alumni and donor events. Hire, train, and supervise student workers to assist with alumni office operations. Manage students' day-to-day workload. Oversee students' administrative activities in LinkedIn.
  • Constituent Communications: Create and execute board communications (email, new member letters and welcome packets, meeting packets, signage, etc.). Create and execute student emails. Create event registration pages and email invitations for MBA Reunion and the Alumni Orientation in coordination with DER Marketing Manager. Source and coordinate student acknowledgement tokens. Update the alumni relations website in coordination with DER Marketing Manager. Respond daily to inquiries in the office email inboxes (Alumni, MBA Alumni, BBA Advisory Board, and MBA Advisory Board).
  • Database Management and Reporting: In VIP Direct, Eloqua, Excel, Cognos and Outlook List Serves where applicable: Maintain accuracy of data and coding for board rosters and chapter directory. Update alumni data. Troubleshoot constituent issues. Produce alumni lists and reports.

Required Qualifications
  • Bachelor's degree. A combination of one year of experience assisting with fundraising programs or performing complex administrative functions or five years of administrative experience.
  • Demonstrated ability to multi-task, work under pressure and meet deadlines.
  • Ability to work efficiently with minimal supervision.
  • Self-starter and self-reliant and ability to work both independently and as part of a team.
  • Demonstrated proficiency in organizing and recording data.
  • Excellent interpersonal, verbal, and written communications skills.
  • Strong attention to detail and demonstrated organizational and analytical skills.
  • Experience using Microsoft Office.
  • Regular and punctual attendance required.
  • Commitment to providing excellent customer service.
  • Experience composing correspondence and other written materials.
  • Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Bachelor's degree and more than five years of administrative experience.
  • Experience working in a fast-paced environment.
  • Experience working in an academic institution of higher learning.
  • Experience coordinating and administering day to day operations of a program, project or office.
  • Experience in alumni affairs.
  • Experience with developing and maintaining databases, spreadsheets, and record keeping.
  • Experience in maintaining web pages.
  • Experience using web applications.
  • Experience working with University of Texas rules, policies, procedures, and event planning

Salary Range

$49,000 - $50,000 + depending on qualifications

Working Conditions
  • Repetitive use of a keyboard at a workstation in a cubicle environment.
  • Some evening and weekend hours may be required during peak periods and special events.
  • This position is Austin, TX-based and is eligible for occasional telework and flexible scheduling.
