Summary

The Administrative Assistant for the Division of Arts & Humanities provides administrative support to the division director with the oversight of the collection, compilation and input of Academic Division information.

Essential Duties & Responsibilities

  • Manage division administrative tasks and assist the Division Director within the Division with day?to? day operations.
  • Coordinate information necessary for the Division Director to submit the divisional budget and capital requests *
  • Ensure that room scheduling and assignments are communicated to all faculty *
  • Ensure that information regarding program and curricular updates are complete and communicated to the appropriate administrative offices for uploading to the appropriate University web sites *
  • Maintain and monitor divisional faculty workload reports for the Division Director
  • Develops and inputs course schedules with oversight from the Division Director
  • Prepare correspondence and coordinate all relevant supporting documentation, including spreadsheets, organizational charts, confidential documents, and the like
  • Performs some basic clerical skills to ensure effective and timely communications and/or operations across the division
  • Ensure that student and faculty concerns are timely communicated to the Division Director
  • Provide general information on to campus visitors and direct them to the appropriate person/office
  • Provide support, when necessary, in the production and copying of syllabi, exams, and other documents
  • Ensure that syllabi are collected from faculty at the start of each semester and transferred to the Dean in a timely manner.
  • Provide, as necessary, general support to divisional faculty
  • Ensure that new divisional faculty receive an appropriate and timely office set?up, including access to necessary keys and mailbox, an email account and relevant University information, such as handbooks
  • Input and maintain student advising records in COLLEAGUE and maintain a list of advisees/advisors
  • Ensure that the Division 's websites and catalog content is accurate and up to date * Assist Division Director with collection, organization and dissemination of data collection connected with annual portfolios and scholarships
  • First point of contact at the Visual Arts Center
Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 1. Bachelor's degree
2. Three years or more related experience with knowledge of office procedures and higher education environment
3. Training and/or experience in Windows-based computer environments and Microsoft Office software, including WORD and EXCEL.
4. Strong communication (oral and written), organizational, interpersonal and time management skills
5. Attention to detail and ability to multi-tasks, meet deadlines, work independently, and prioritize
6. Knowledge of Self-Service and Colleague desirable.
7. Ability to work with people in a professional, courteous, and tactful manner Description of Hours: Monday - Friday 8:30 - 4:30
