SUMMARY




The Legal Department Administrative Assistant provides essential support to the day-to-day functions of the division. This assistant performs general administrative tasks, documents and organizes various processes, and contributes to the overall success of the Legal team.



The ideal candidate for this role has exceptional communication skills, is highly organized, and possesses a strong eye for detail. Proficient computer skills and the ability to quickly and accurately review legal documentation are necessary for this assistant's success.



Overall, the Legal Department Administrative Assistant performs a variety of highly responsible, complex, and confidential administrative support and operational duties for the Legal Department.

ESSENTIAL DUTIES



  • Review and analyze contracts, loan documentation, and other documents.

  • Under the guidance of the CLO, conduct research as needed and obtain documentation.

  • Assist with administrative tasks including printing, typing, scanning, sending files securely, and obtaining documents from Loan Officers.

  • Regularly review, draft, and revise various legal documents.

  • Prepare contracts, review, and implement necessary modifications.

  • Classify, sort, and file correspondence, articles, reports, and other documents.

  • Under the guidance of the CLO, review trusts, power of attorneys, governance documents, outside legal work, Phase I Environmental reports, appraisals, title commitments and policies, and insurance certificates with authority to approve.

  • Facilitate internal training initiatives on behalf of the Legal department, continually assisting other bank team members as appropriate for review approval.

  • Perform routine legal administrative tasks, such as LawyerPro edits, tracking contracts, printing and distributing documents, etc.

  • Assist and respond to internal inquiries.

  • Develop knowledge of large loan reviews (IE: phase 1, appraisals, settlement standards, construction documents, commitments, proformas with endorsements, etc.)






EDUCATION & CERTIFICATIONS



  • Associates degree or a commensurate combination of education and experience required.




MINIMUM REQUIREMENTS



  • Excellent communication skills and the ability to communicate effectively, verbally and in writing, with internal and external customers at all levels.

  • A positive and proactive approach to work, demonstrating enthusiasm, adaptability, and the ability to maintain composure and professionalism in stressful or adverse conditions.

  • Proficient computer literacy, including comfort with Microsoft systems and Office Suite.

  • Ability to complete standard calculations and apply basic mathematical concept in practical situations.

  • Intermediate typing skills to meet the needs of this position.

  • Current driver's license and reliable transportation with appropriate insurance coverage; additionally, the ability to drive occasionally in the course of performing assigned duties and responsibilities.

  • The ability to work with minimal or no supervision.






ADDITIONAL QUALIFICATIONS



  • Bachelor's degree preferred.

  • Direct experience as an Administrative Assistant or similar role preferred.
