The Institute of Personality and Social Research (IPSR) encompasses a distinguished membership from a broad range of disciplines including psychology, business, neuroscience, public health, public policy, education, economics, and social welfare. Responsibilities

Administrative Support:

  • Work closely with the director (currently Iris Mauss) and members of IPSR as well as staff in the psychology department.
  • Oversee office operations for IPSR working directly with the Director to serve a diverse group of faculty, students, and researchers.
  • Serve as general receptionist for the Institute, prepare materials as needed, handle mail and other deliveries, maintain office equipment, other duties as required.
  • Provide general administrative, facilities, and HR support.
  • Schedule functions including appointments, meetings, colloquia, program workshops, and room reservations, utilizing sensitivity to issues, priorities, and protocol.
  • Plan office space use for staff, researchers, and Director.
  • Maintain record of keys for each room.
  • Advise on technical facilities including computing and copier resources.
  • Orient sabbatical visitors, visiting scholars, and new graduate students.
  • Manage event coordination for colloquium series, assorted symposia, workshops, and meetings.
  • Coordinate travel arrangements and meetings for guest speakers.

Web Design:

  • Plan, design, and update the IPSR web site. Specific duties include creating and managing the IPSR website; incorporating links to existing and new data, documents and image files; uploading files onto web server; managing access to server files; and serving as webmaster for the site.
  • Maintain and expand the Institute's listserves.
  • Respond to inquiries generated from web site.

Finance:

  • Assume responsibility for financial operations.
  • Conduct all program-related business support functions.
  • Act as liaison with SHARE services.
  • Collect financial data and information for preparation of expense projections and budgets.
  • Review expenses.
  • Monitor expenditures on a monthly basis, reconciling with authorized budget.
  • Resolve issues with purchase orders, reimbursements, and requisitions.
  • Acquire equipment, services, and supplies for PI's, lab managers, and graduate student researchers.
  • Advise and instruct individuals on proper procedures and interpretation of policies when seeking reimbursement from the University.
  • Work with department management to update/review/revise website to better communicate organization's mission, requiring substantive knowledge of organization's goals and objectives.

Required Qualifications

  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Good verbal and written communication skills.
  • Active listening, critical thinking, multi-task and time management skills.
  • Interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
  • Attention to detail and organizational skills.
  • Ability to work independently, solve problems creatively, take initiative, prioritize work, complete assignments, and meet deadlines.
  • Financial and administrative experience and knowledge of relevant policies and procedures.
  • Experience and proficiency with software such as MS Office, Photoshop, Acrobat, data base software, and web design.
  • Willingness to learn and use new software applications.

Education/Training:

  • High school diploma and/or equivalent experience/training.
  • Administrative experience.

Preferred Qualifications

  • Background and interest in social sciences (e.g. psychology, public health, organizational behavior, neuroscience, or related field).

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $28.44 - $37.28.

  • This is a 100%, full-time (40 hours per week), career position that is eligible for full UC benefits.
  • According to applicant preference, this position can adjust between 50% - 100% capability.
  • This position is non-exempt and paid bi-weekly.
  • This is a hybrid position, eligible for up to 30% remote capability.
