The Nicholson School of Communication and Media:

The Nicholson School of Communication and Media (NSCM) is an interdisciplinary school that includes the Communication, Film and Mass Media, the Games and Interactive Media programs and the Florida Interactive Entertainment Academy (FIEA).

The Opportunity:

The Nicholson School of Communication and Media (NSCM) in the College of Sciences (COS) seeks qualified applicants for the Graduate Student Services Coordinator position. The Graduate Student Services Coordinator is responsible for supporting the NSCM graduate programs with the primary focus on the school's Master of Arts and MFA degrees, graduate certificates, the Ph.D. program, in addition to the Master of Science in interactive entertainment. The coordinator liaises with multiple university offices and participates in activities related to academic admissions, registration, financial aid services, and orientation for current and potential university students.

Responsibilities:

  • Provide any needed data to the Admissions Committee to help facilitate the admissions process.

  • Provide admission support to NSCM Graduate Program Coordinators (NSCM GPCs) and applicants.

  • Interface with related UCF departments, including Financial Aid and Graduate Studies, to solve student issues.

  • Assist all NSCM graduate students with registration and process registration for thesis hours, independent study, directed research, internship, dissertation hours, applied project hours, and enrollment.

  • Partner with the other Nicholson School graduate program support staff, oversee the recruitment/admissions process for the school's graduate programs.

  • Arrange, assist and attend recruiting functions/events, such as graduate and job fairs, community events, tours, orientations, open houses, webinars, etc., including reservations, support materials, catering, etc.

  • Serve as primary contact to all NSCM graduate students and liaison between students, NSCM administration, College of Sciences' Dean's office, and the College of Graduate Studies.

  • Assist all NSCM graduate students with miscellaneous questions or problems that arise.

  • Maintain all data related to the admissions and registration process; support students from first inquiry to the first day of classes.

  • On-board all incoming graduate students.

  • Assist NSCM graduate students to review the Graduate Plan of Study and submit all required documents and materials to the College of Graduate Studies.

  • Process the Graduate Teaching Assistants/Associates/Graders/Graduate Research Assistants/Associates contracts, offer letters, selection/notification of assignments, etc.

  • Continually evaluate UCF's policies affecting admissions, financial aid, readmissions, registration, and graduation for NSCM graduate programs.

  • Assist with the updating of the Graduate programs' catalog entries with the NSCM Graduate Program Coordinators. Process all graduate student related forms (thesis and dissertation committees, GPS, eforms, ITGs, etc.).

  • Assist with NSCM Graduate student awards. Assist with the Graduate Faculty and Faculty Scholar nominations.

  • Directly support the NSCM graduate and doctoral committees (e.g., scheduling meetings, agenda preparation, meeting minutes, minutes dispersal, etc.).

  • Assist NSCM GPCs with CGs tuition waiver requests. Assist NSCM GPCs with the course schedule.

  • Maintain and process NSCM graduate student travel request and assist student with booking travel.

  • Assist with recruiting and marketing efforts in online web and social media. Assist in the development, updating, ordering, inventory, and storing of all promotional materials for the NSCM graduate programs.

  • Monitor the NSCM graduate program web pages for accurate content and active links.

  • Other duties as assigned.

Minimum Qualifications:

Bachelor's and 2+ years of relevant experience or Masters degree and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:

  • Excellent communication, organizational, and interpersonal skills.

  • A positive customer service orientation.

  • An academic program and university policy knowledge.

  • Experience with administrative operations.

  • Ability to manage multiple priorities, and work under pressure and meet deadlines.

  • Familiarity/experience with PeopleSoft and Workday is a plus.

  • Familiarity/experience with the Nicholson School programs (or a strong interest to learn).
