Administrative Assistant/Production Coordinator

The candidate must enjoy working with data, since data input & processing is a key part of the role.

Hours are between 8.00am to 5:00pm Monday to Friday.

Salary range: $23.00 – 24.50

Responsibilities:

  • Provide general administrative and data entry support to the Production Coordinator
  • Updating and Maintaining Customer Repair and Service orders
  • Updating and maintaining the Customer Maintenance Division and always ensuring
  • Updating and maintaining Maintenance Spreadsheets
  • Entering Contracts into QuickBooks
  • Invoicing Customers from QuickBooks
  • Updating and maintaining Warranties
  • Updating and Maintaining Customer Snow Contracts
  • Experience with QuickBooks is required

  • Highly pro-active; always a step ahead and on top of tasks at hand whilst keeping an eye on the long-term goals of a project
  • Strong communication, able to relay instructions and decisions clearly both verbally and in writing
  • To be able to demonstrate workload prioritization, focus to tasks and personal time management
  • A creative thinker who looks for opportunities to improve existing processes,
  • Independent, a quick learner and comfortable taking on responsibility and testing new solutions and systems
  • Experience in using Microsoft Office Suite is required (Outlook, Excel, Word & PowerPoint)
  • Experience with QuickBooks Enterprise is required
  • A flexible attitude, unphased by unexpected change and ambiguity
  • A professional individual with a good sense of fun

Skills required:

  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel, MS Word and MS Outlook, in particular)
  • Proficiency in QuickBooks Enterprise
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • A creative mind with the ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
