The Administrative Specialist III - ECE is responsible for coordinating office activities; researching and preparing special reports; developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and agency/institution policy. The position is based in Springdale, AR, NWACC Washington County Campus.

This position is responsible for the office management and staff support for the Department of High School Relations. This individual will provide clerical support for administrative staff and ECE faculty members. Responsibilities include employment memorandums, budget, purchase orders, leave and time sheets, room scheduling, substitute teachers scheduling, billing, travel reservations, high school course requests, event coordination and support.

Essential Duties

  • Answer the telephone and take messages for the staff in theECEprogram, update procedures manuals and maintain office supplies for theECEprogram. This duty is performed daily.
  • Type correspondence and reports as needed. Copy and fax materials as needed for theECEprogram. This duty is performed daily.
  • Work with Director ofECEto coordinate Work-Study assignments. This duty is performed weekly.
  • Events - Counselor's Day, Superintendent's Breakfast,High School-BasedFaculty Lunch, and others.
  • Complete purchase orders, employee memorandums and other documentation required by Business Services. This duty is performed daily.
  • Use Ad Astra to schedule rooms as needed. This duty is performed weekly.
  • Filing for staff in theECEprogram. This duty is performed daily.
  • Maintain budget files for theECEprogram. This duty is performed daily.
  • Ensure accurate billing and room utilization fees for each high school. This duty is performed monthly.
  • Complete travel forms as needed for theECEprogram. This duty is performed monthly.
  • Mail outs such as transcripts, letters and surveys. This duty is performed annually.
  • Perform any other related duties as required or assigned.

Salary $16.35 hourly

Knowledge, Skills, and Abilities

Proficiency in MS Office Suite (Word, EXCEL, Database, PPT). Knowledge of work-related subject area. Knowledge of computers and software applications. Ability to prepare, present, and review oral and written information and reports. Ability to research and analyze related work program information. Ability to develop, recommend, interpret, and apply policies and procedures. Ability to analyze financial records and prepare reports. Ability to plan, organize, and direct the work of others.

Required Education and Experience
