The Supply Specialist prepares researches, identifies, recommends and reports on current suppliers and potential suppliers. This position is accountable for planning, developing, and monitoring procurement activities for general office supplies and materials used to support the operating units throughout the Advia portfolio. Assists in documenting and maintaining price lists for all supplies. This role will drive progress by assisting Physical Security through the coordination of crisis management tasks and security initiatives for the credit union. Major Duties and Responsibilities

  • Accountable for the planning, developing, monitoring and directing the procurement of general supplies, furniture and materials used by various team members and departments. Completes routine office supply ordering for all Advia branches, including the prioritizing, managing and working tickets within the Supplies Help Desk. Assumes accountability of supply ordering and inventory for the Advia Oshtemo headquarters.
  • Researches and evaluates cost savings initiatives for supplies and manages vendor relationships with suppliers. Recommends changes of vendors and supplies, by researching and evaluating supplies/suppliers, orchestrating a fair bid process, analyzing pricing proposals and aiding in the contract negotiation process.
  • Assists Physical Security by monitoring and completing ticket requests, monthly camera audits and new hire on-boarding photo badge creation and completion within the Physical Security Help Desk.
  • Provides documentation for crisis management events: including Business Continuity Plan events and tabletop discussions or testing.
  • Main point of contact for shipping services for the credit union.
  • Manages Advia's fleet vehicle reservation calendars, passes on maintenance issues or needs and updates vehicle reservation calendars as needed for maintenance schedules or vehicle's temporarily being removed from service.
  • Provides administrative support to Facilities such as contacting vendors, follow-up on scheduled/preventive maintenance orders and maintains electronic files on vendor contracts, proposals, bid packages, and department files.
  • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Additionally, all employees must follow policies and procedures to minimize risk by exercising judgment, raising questions to management, and adhering to policy guidelines.

Requirements

Experience

Under one year of similar or preparatory experience.

Education/Certifications/Licenses

A high school degree or equivalent.

Interpersonal Skills

Courtesy and tact are essential elements of the job. Work involves personal contact with customers and others inside and outside the organization, generally regarding fairly routine matters for the purposes of giving and obtaining information or instructions, updating or referring. Communications generally require shorter and not in-depth discussions.

Other Skills

Valid driver's license and acceptable driving record.

Physical Requirements

Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 25 lbs. Must be capable of climbing/descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

Working Conditions

Must be able to routinely perform work indoors in climate-controlled shared work environment with moderate noise.

Mental and/or Emotional Requirements

Must be able to perform job functions independently and with limited supervision. Must work effectively as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to perform basic mathematical calculations with accuracy. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under stress of deadline, requirements for extreme accuracy and quality and/or fast pace.
