Our team is growing, and we currently have an immediate opening for an Accounting Administrative Assistant

Title: Accounting Administrative Assistant

Location: Onsite-Cleveland office

Job Overview
The Accounting Administrative Assistant will support the daily functions of the Accounting and Finance department with accuracy, a high attention to detail, and will adhere to the highest standards of ethical and professional behavior. Plays an integral part in ensuring office operations run smoothly. Supports multiple business activities by providing confidential administrative and accounting support to various persons and groups. Responsible for managing the flow of the office creating processes and systems to enhance company operations.

Essential Duties and Responsibilities
  • Support Accounting/Finance Department to include purchasing, accounts payable and receivable functions, audit inquiries, credit card reconciliation, and other accounting tasks as needed.
  • Captures and creates purchasing/receiving and accounts payable supporting documentation for transactions and uploads them into the accounting system accurately and efficiently.
  • Create purchase orders in the accounting system with from purchase requisitions from various departments. Places purchase orders with vendors to support operations and lab functions.
  • Manages the company credit card monthly reconciliation by gathering receipts from company card users and prepares the document package and schedule to post to the accounting system with high attention to detail.
  • Collect, sort, distribute and prepare mail, messages, and courier deliveries
  • Manage FedEx shipments for both on-site and remote staff members
  • Provide general administrative support to various departments such as proof reading, formatting, and editing documents, copying, filing, emailing, faxing, gathering signatures, etc. as needed
  • Provide full on-site administrative support to remote staff members
  • Order and replenish office and kitchen supplies inventory as needed
  • Maintain office and conference room calendars, coordinate meetings
  • Organize and manage the general office including the reception area, conference room, kitchen, common areas and storage space
  • Greet persons entering the establishment, determine the nature and purpose of their visit, and direct or escort them to specific destination
  • Ability to perform assigned duties under frequent time pressures in an interruptive environment with changing priorities
  • Perform other duties and responsibilities as assigned

Qualifications/Requirements
  • Associate degree in accounting is preferred
  • Minimum 3 years accounting and office administrative experience (required)
  • Strong understanding of accounting principles and office management systems and procedure.
  • Proven track record of maintaining and protecting confidential and sensitive information ensuring adherence to Company policies and procedures.
  • Demonstrate high proficiency in Microsoft Office products including Word, Excel, and PowerPoint
  • Problem-solving and basic troubleshooting skills
  • Keen attention to detail
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Excellent interpersonal skills and professional etiquette
  • Maintain a prompt and reliable work schedule
  • Ability to work well with all levels of internal staff as well as outside clients, consultants, etc.

Physical Requirements/ Working Conditions/Equipment Used:
  • Ability to sit and/or stand and operate a computer with ability to multitask across many software communication and data entry programs while operating and communicating through telephone device for several hours a day. Ability to lift up to 50 pounds.
  • Offices reachable by elevator but should be able to climb stairs in case elevator out
  • General office noise and HVAC
  • May be exposed to hazardous chemicals, biohazards, etc.
