We are searching for an experienced Administrative Support Assistant to join our Security Services Office at the Applied Research Laboratory (ARL) at Penn State University. ARL's purpose is to research and develop innovative solutions to challenging scientific, engineering, and technology problems in support of the Navy, the Department of Defense (DoD), and the Intel Community (IC).

You will:

* Lead ARL Visitor Control Representative in charge of keeping associated manual up-to-date

* Provide training to new Visitor Control Representatives and collect monthly visitor badge logs for audit

* Manage incoming and outgoing classified visit requests for ARL at University Park, as well as all offsite ARL locations

* Coordinate the Long Term Visitor (LTV) program to provide non-ARL employees with the access they need to perform work

* Interview, train, and assist with/direct the work assignments of student employees

* Coordinate work assignments of department support employees

* Plan, organize, coordinate, and direct daily office activities

* Assist the supervisor with the resolution of issues or conflicts by researching issues/making recommendations

* Act as backup contact to the Division, responding to routine and complex inquiries on ARL/University policy or procedures from internal and external customers; including briefings and de-briefings on security procedures/regulations

* Assist with/coordinate the management of the employee parking permit registration system by becoming primary Parking Chair

* Prepare, review, organize, and maintain a variety of security forms, databases, reports, and correspondence

* Update security manuals

* Assist in the preparation for security inspections by US government agencies

* Analyze/identify processes for streamlining; develop new processes to support the needs of the Division and Lab

* Oversee coordination of security projects, special events, and/or programs

This position will be filled as a level 4. Typically requires a High School Diploma or higher, plus 3 or more years of related experience, or an equivalent combination of education and experience.

Required skills and experience include:

* Demonstrated success in a security-related or other professional environment

* Proficiency with Microsoft Office (Outlook, Word, Excel)

* Demonstrated ability to effectively multi-task, prioritize, and work with minimal direction in a fast-paced environment while providing a high level of customer service

* Exhibit a high degree of professionalism, self-motivation, and discretion

* Success in an office environment, where various forms of communication and organizational skills were crucial to be effective

Preferred skills and experience include:

* Prior military or industrial security background

* Past success overseeing office activities

* Exposure to working on high-priority, high-volume projects

* Prior coordination/handling of recurring programs

* Active government security clearance

Your working location will be fully on-site, located in State College, PA.
