Part Time - Department Head Support - Mechanical Engineering

JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Department of Mechanical Engineering is seeking support for our Department Head office. This position is part time with flexible hours.

Duties Include:

  • Assist with department events, seminars, faculty mentor lunches, group meals, guest/faculty candidate campus visits

  • Reserving conference rooms and monitoring reservation system

  • Sorting & distributing incoming mail

  • Creating and organizing department files

  • Answering general inquiries both via phone, email and in-person

  • Assist with the Department Head's calendar and travel arrangements

  • Inventory and ordering of office supplies

  • Assist with reconciling travel and purchases

  • Provide excellent customer service to all students, faculty, staff and visitors of the department

  • Provide support to the Department Head Administrative Coordinator

Qualifications and Requirements:

  • Experience with Microsoft Office and Adobe Acrobat

  • Professionalism, organized, detail oriented, quick learner, positive attitude

  • Confidentiality is essential

  • Previous experience with Penn State systems is a plus but not required

  • Ability to work well both independently and as part of a team

  • Demonstrates personal initiative
