I. SUMMARY

Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices in accordance with company policies and procedures.

II. ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Process payments via ACH and manual check for vendor invoices against purchase orders.
  • Reconcile vendor statements to outstanding invoices by verifying entries and comparing system reports to statement balances.
  • Data entry (key in, code invoices, set up vendor codes).
  • Organize & file Accounts Payable documents, as well as maintaining vendor files.
  • Pay employees by receiving, verifying, and processing expense reports and requests for advances.
  • Review Accounts Payable Aging report & address past due amounts.
  • Manage employee advance process.
  • Charge expenses to accounts and cost centers by analyzing invoices and expense reports.
  • Maintain confidentiality of company information.
  • Responsible for employee cell phones, including issuing/collecting new/old phones, resolving discrepancies, and analyzing invoices.
  • Being point person for expense report tool, Expensify. This includes reviewing, processing, and reimbursing expenses timely and in accordance with company policy.
  • Other duties as assigned, including assisting accounting team members as needed.

Attention to detail, accuracy, thoroughness, organization, tracking expenses, analyzing information, basic accounting knowledge, professional verbal and written communication, vendor relationships, Microsoft proficiency, data entry, general math

B. Language Skills

Ability to read and interpret documents. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

C. Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with standard problems that occur within Accounting.

Ability to deal with problems involving concrete variables in non-standardized situations.
