Reports to: Customer Service Manager

Improving customer satisfaction and business performance by facilitating the process from order acknowledgment to completion of project documentation and invoicing. To administer the execution of orders not assigned to a Project Manager through the order fulfillment process, from Order Acknowledgement to close-out.To undertake project/order document control activities.

Responsibilities include:

Order Fulfilment Process:

  • Monitoring the execution of orders through the order fulfillment process, updating systems to capture progress and taking action, as necessary, to flag potential issues/delays and work with the functional disciplines to develop and implement corrective actions.
  • Ensuring customers are kept updated on order status, including anticipated delivery dates for all deliverables
  • Customer interface including technical queries and information requests from clients.
  • Assist with the day-to-day operational aspects of projects in the absence of the assigned Project Manager.
  • Ensure that customer needs and expectations are understood and met, including customer complaints are dealt with in a professional and effective manner.
  • Filing of department documentation.

Docs Control:

  • Ensure project documents are complete, current, and stored appropriately. These include:
    • Transmittal of documents
    • Document approvals and amendments
    • Expediting and collating information from direct services
    • preparing/submitting Data Books
    • Logging of Documentation
    • Uploading / downloading documents to customer websites (when required)
    • Scanning and saving documents into the QA drive/IFS/Order Folder
    • Liaising with customers
    • Archiving Docs.

General Duties:

  • Visitor interaction and assistance.
  • Manage organizational post.
  • Oversight of stationary order for organization.
  • Ordering of supplies for business.
  • Provide additional support for the other members of CSG in the event of absences.

Knowledge Skills & Abilities

Must have a high school diploma or equivalent. Proficient in Microsoft Office and attention to detail is essential. Must be able to communicate effectively, in written and spoken form, with excellent interpersonal relationship skills. Multilingual would be desirable especially in Spanish.

Training will be provided to the selected candidate.
