Payroll Supervisor

 

We are currently recruiting for a Payroll Supervisor for our Cambridge, ON location.

 

JOB SUMMARY:

 

This position is responsible for managing the day-to-day operations of the Payroll Department and ensuring payrolls are processed in compliance with federal and provincial legislation; payments/remittances adhere to collective agreements or company policy and financial transactions are recorded in accordance with generally accepted accounting principles. Payrolls include multiple construction trades, salaried and hourly union and non-union paid employees for four companies.

 

RESPONSIBILITIES:

 

Supervision

 

  • Monitor day-to-day activities and provide leadership and direction to payroll staff and timekeepers to ensure payroll compliance with government legislation including provincial employment standards, taxation issues, company policy and union agreements.
  • Ensure Payroll staff, Timekeepers and Operations personnel are complying with established internal controls for all payroll processes.

 

Legislation Compliance

 

  • Coordinate all payroll year-end activities and required reporting for multiple business numbers.  Involves the preparation and filing of T4’s, T4A’s and summaries to the CRA.
  • Ensure a pensionable and insurable earnings review is completed to ensure compliance with Canada Pension Plan.
  • Prepare and file annual reconciliation for EHT and WSIB Ontario.

 

Accounting Functions

 

  • Record payroll transactions and accruals to the G/L.
  • Prepare, review and approve G/L account reconciliations.
  • Maintain all Timberline (an hourly temporary payroll) earning tables, deduction tables and fringe calculations/tables to ensure costs and liabilities are captured at time of payroll process and captured in the automated journal entries. 
  • Ensure SAP is appropriately updated and tested.
  • Responsible for ensuring a strong internal control environment exists for all processes in the payroll cycle.  Involves coordinating with Operations personnel to ensure site approval and processes meet required internal control standards.

 

Payroll Audit
 

  • Work with legislative bodies such as Provincial Workers Compensation Boards (Ontario) in all provinces in which we employ workers, Provincial Health Care (Ontario) and Canada Revenue Agency to ensure compliance with payroll audits.
  • Review and document payroll processes and perform walk through with auditors to test internal controls.  Perform same narrative of payroll processes with external auditors and perform walk through of samples selected to test internal controls.

 

QUALIFICATIONS:

 

  • College/University graduate with a business/accounting major together with the completion of the Canadian Payroll Association program with attainment of Certified Payroll Manager is required.
  • Completion of, or pursuing a professional accounting designation (CPA), is an asset.
  • General accounting background with an understanding of job costing.
  • Excellent knowledge of payroll obtained through 5 to 10 years of progressive experience including Expatriate payroll, dealing with multiple collective agreements, complex taxation issues, and superior knowledge of provincial and federal government legislation.
  • Minimum of 2 years accounting experience within a manufacturing environment is preferred.
  • Minimum 3 years supervisory experience is preferred.
  • Advanced knowledge of computer software applications, databases and report writers.
  • Experience working with SAP would be an asset.
  • Advanced proficiency with Microsoft Excel including data manipulation techniques, v-lookup formulas and macros.
